ECHO Realty is seeking to hire a Tenant Coordinator who will be responsible for managing the tenant build-out process across our properties, serving as the primary liaison between the in-house construction, property management, and leasing departments, ensuring seamless communication and coordination with tenants and municipal authorities. Collaborate with the property management, marketing, and leasing departments on computer-aided design (CAD) responsibilities. Be able to run a project from start to finish and be the project manager for the tenants fitout.
Review and coordinate letters of intent, architectural and engineering documents, cost estimations, and construction timelines for tenant buildouts. Create a work letter based on the terms of the LOI or modify a work letter provided by the tenant. Create and manage construction estimates based upon the terms of the LOI, draft lease, work letters and or a combination of all. Responsible for architectural and engineering pre-design floor plans, elevations, and construction documents. Distributes architectural and engineering documents to municipal authorities for permitting.
Maintain communication with tenants and landlords throughout the construction process, addressing document revisions, timing, and punch list issues. Interfaces between landlord and tenants on document and plan revisions, timing, turn-over dates, and punch list issues. Oversee the tenant's contractor and construction process, including insurance, permits, schedules, and reporting. Manage pylon sign designs, construction allowance payments, and permit acquisition for all properties in their portfolio. Review and interpret lease language and ensure compliance throughout the build-out process. Be able to track all deal points from delivery dates, notices, and physical deliverables.
Collaborate with internal teams, including construction, property management, and leasing, to streamline construction processes. Negotiate Landlord Work or tenant scope to help expedite lease execution by direct communication with the tenant (as requested). Review, comment, and approve tenant plans to ensure specific property criteria for compliance and the best design possible. Tracks project progress, both financially and construction progress, to ensure both are meeting the business terms. Negotiate contracts with design partners and contractors using ECHO approved contracts and forms. May be asked to serve as the technical expert for the portfolio based on need and expertise in construction.
Requirements you’ll need to be successful: Architectural or Engineering degree from an accredited university or a minimum of 10 years of experience in construction project coordination, preferably in the retail sector. Proficiency in CAD software and Microsoft Office suite. Effective communication and interpersonal skills, with the ability to effectively mediate between multiple stakeholders. Strong proficiency in lease interpretation. Familiarity with engineering systems such as electrical, plumbing, sprinkler, FDSC, structural and HVAC.
Advanced skills in construction project management will be required such as; quantifying unusual conditions and scope, cost estimating, bidding and bid analysis, contract, and change order negotiation, managing prime contractors, scheduling and prioritizing, effective task delegation and, delay avoidance (i. e. , issues forecasting and action planning)Excellent organizational and time management abilities, with a keen attention to detail. Ability to thrive in a fast-paced environment and adapt to changing priorities. Travel will be required based on workload or supervisor discretion. Knowledge, Skills and Abilities:
