Our client, a global leader and Fortune 500 company in the IT industry, is seeking to hire an Administrative Assistant. This is essentially a 100% remote role, but you will have to be able to work out of the downtown Chicago office a few times a month for key meetings. The remaining time can be spent working from your home office. The core hours for this role are 8: 30am – 5: 00pm M-F. This position pays $22-$24. 50/hour and starts as a 6-month contract but offers opportunities for extensions and perm roles for top performers.
Position OverviewAs an Administrative Assistant, you will support a high-performance team with all daily, monthly, and quarterly administrative responsibilities. You will have the opportunity to interact with employees at all levels and take initiative on a variety of tasks and projects. Key Responsibilities: Handle calendars and scheduling for internal and external meetings. Field incoming phone calls and emails; prioritize, follow-up and resolve outstanding issues. Extract lists and other data requests from the HRIS system to send targeted communications to groups or functions from specific leaders. Draft, prepare and proofread letters, memos, reports, spreadsheets, charts, and presentations.
Prepare, organize, and distribute materials for all meetings. Coordinate and arrange all travel for the team including arranging all aspects of requested meetings, including locations, travel, accommodations, meeting rooms, catering, equipment/supplies, etc. Assist with or arrange department gatherings (location, set-up, food, and activities). Craft professional PowerPoint presentations. Create and prepare expense reports, requisitions, and new hire needs. Enter all invoices and create Purchase Orders to ensure timely payment to Vendors. Qualifications5+ years of administrative experience in a professional office setting. Must have advanced skills in Microsoft PowerPoint, Excel, and Outlook.
Experience with compiling data from a variety of sources in Excel and PowerPoint. Experience working inside Peoplesoft is preferred. High school diploma or equivalent is required. Enjoys a dynamic environment and works well under deadlines. Must have the ability to work independently and to communicate effectively with all levels of management, as well as all employees. Strong organizational skills to meet ongoing deadlines, handle unexpected reporting requirements, and manage multiple assignments.
