Job SummaryWe are seeking a detail-oriented and highly organized Purchasing Operations Clerk to support procurement activities within a fast-paced biotechnology environment. The successful candidate will be responsible for executing day-to-day purchasing transactions using a variety of procurement tools and systems, ensuring the timely and accurate acquisition of goods and services in compliance with internal policies and external regulatory requirements. Essential FunctionsProcess purchase requisitions and convert them into purchase orders using internal procurement platforms (e. g. , Prendio, SAP, Oracle, Coupa, Ariba). Communicate with internal stakeholders to clarify purchasing needs, specifications, and delivery timelines.
Liaise with suppliers to obtain quotes, confirm order details, track deliveries, and resolve discrepancies or issues. Maintain accurate records of purchases, pricing, and supplier performance. Monitor open purchase orders and follow up with vendors to ensure on-time delivery. Support sourcing activities by preparing supplier onboarding documentation and assisting in competitive bidding processes. Ensure compliance with procurement policies, Good Manufacturing Practice (GMP), and other biotech industry regulations. Assist in invoice reconciliation and coordinate with accounts payable to resolve billing issues. Generate reports related to procurement metrics, order status, and spend analysis as required.
Identify opportunities for process improvements within procurement operations. Education and SkillsAssociate’s degree or equivalent experience in Business Administration, Supply Chain, or related field; Bachelor’s degree preferred. 3+ years of experience in a purchasing or procurement support role, preferably within a biotech, pharmaceutical, or life sciences environment. Proficiency with ERP/procurement tools such as SAP, Oracle, Coupa, Ariba, or similar systems. Familiarity with procurement best practices, vendor management, and inventory control. Strong attention to detail, organizational, and communication skills. Ability to manage multiple tasks and priorities in a regulated environment. Proficient in Microsoft Office Suite (Excel, Word, Outlook).
