Join Our Growing Team at Holstep Health!Position: Employee Experience LeadLocation: West HeidelbergJob Type: Permanent - Full timeReports To: Manager - People & CultureYOUR NEW ROLE: Reporting to the Manager People and Culture, the Employee Experience Lead responsible for overseeing the effective delivery of core HR operational and payroll functions, and for managing the coordination and compliance of the organisation’s volunteer and student programs.This role ensures all employee, volunteer, and student records and screening checks are compliant, payroll processes are accurate and timely, and HR systems operate efficiently to support a high-quality and compliant employee experience.In partnership with the business the P&C Team is responsible for continuing to develop a positive organisational culture, aligned to our values and which fosters accountability, innovation and continuous improvement  A priority for the functional area is to ensure that transition within Holstep Health occurs both logically, effectively and efficiently with minimised industrial implications, being a key enabler in supporting the delivery of services. The role will work collaboratively with all other areas of the business                                                      YOU WILL BE RESPONSIBLE FOR: Human Resources Operations:·       Lead and manage all HR operational activities including onboarding, contract management, employee records, remuneration, position movements and offboarding processes·       Provide leadership and guidance to HR operations, payroll, and administrative staff.·       Oversee and maintain workforce screening compliance, including but not limited to Working with Children Checks, Immunisations, Police Checks, Right to Work verification, and any role or funding specific clearances.·       Provide guidance to leaders and employees on HR processes, policy interpretation, and system use.·       Prepare and manage HR reporting, analytics, and compliance submissions.·       Support the Development and implementation of an annual plan for P&C Service Delivery which reflects the Group P&C strategic and operational plans and the needs of the Enabling Division’s.·       Develop strong understanding of stakeholder needs and ensure P&C strategies meet those needs.·       Design and implement initiatives to develop culture aligned with organisational needs and increase the engagement of employees within the Enabling Division’s, including survey action plans.·      Take a lead role in organisational compliance with all legal and government requirements including workplace health and safety, anti-discrimination, equal employment opportunity, national employment standards, fair work and applicable industrial instruments. ·       Collaborate with IT, Finance and wider P&C Team to ensure accurate data flow and integration·       Research, recommend and implement approved best practice P&C Projects that are innovative and meet the objectives of the Strategic Plan.·       Represent at committees, internal and external meetings including industrial organisations, including Fair Work Commission, Human Rights and Equal Opportunity Commission, union/s other bodies.·       Provide expert advice on complex payroll matters, legislative changes, Student and Volunteer processes and the organisational impacts to support informed business decisions·       Undertake other duties as reasonably directed by the Manager People and Culture and Executive Director Corporate Services in line with the incumbent’s skill and experience.·       Other duties as directed by the Executive Group and Senior Leadership Group.Payroll and Systems·       Manage the ongoing operation of the HRIS systems including data integrity, functionality, controls and security.·       Lead the end-to-end payroll process, ensuring accurate and timely payments for all employees.·       Maintain up-to-date expertise in legislation and policy to ensure statutory compliance, prepare accurate reports·       Lead ongoing and systematic auditing of HRIS systems to mitigate risks, and for assurance against relevant enterprise agreements, awards, statutory requirements and internal compliance requirements.·       Partner with Finance to reconcile payroll data, process adjustments, and support audit requirements.·       Prepare monthly, quarterly, and annual payroll reports including, PLSA, STP, superannuation, and other statutory obligations.·       Recommend and implement changes to system functionality in line with changing business requirements and to ensure efficient, compliant, and high-quality service delivery. ·       Manage relationships with external payroll providers and system vendors.Volunteer and Student Management·       Lead and coordinate the end-to-end management of volunteers and student placements across the organisation.·       Oversee recruitment, onboarding, induction, and compliance checks for all volunteers and students, including Working with Children Checks, Police Checks, and vaccination records.·       Ensure systems maintain accurate volunteer and student records and databases, ensuring all screening and compliance requirements are current.·       Collaborate with managers and supervisors to match volunteers and students with suitable opportunities and placements.·       Proactively work with teritary instutions to identify placement opportunities within the organisation·       Provide support, communication, and recognition initiatives to ensure a positive volunteer and student experience.·       Ensure compliance with organisational policies, insurance, and relevant legislation regarding volunteers and students.·        Regularly review and enhance volunteer and student management frameworks, documentation, and processes.Integration and Transformation Responsibilities·       Actively participate as a key enabler in the operational planning, development, and implementation of delivery roadmap for transformation of people related policies, systems, and processes.·       Identify and assess potential risks related to workforce integration, such as cultural differences, employee benefits, and compensation structures.·       Ensure Holstep Health is compliant with all legal and regulatory industrial requirements through integration and transformation to minimise risk and maintain stability.·       Support the development of P&C business reporting suite in conjunction with the P&C Business Partner – Support FunctionsWHAT YOU NEED TO SUCCEED:•       Minimum five (5) years’ experience in a similar Payroll or HR Operations leadership role role within medium-to-large organisation•       Proven experience working with the Finance division regarding payroll reporting and accruals•       Demonstrated effective skills in communication, team building and conflict resolution.•       High quality analytical, oral and written communication and interpersonal skills; and the ability to liaise with staff in a multi-disciplinary setting.•       Excellent interpersonal and relationship building capacity with the ability to sustain relationships and build cooperation.•       A core commitment to act respectfully with fairness, integrity and transparency in serving the best interests of all stakeholders.•       Forward thinking and proactive leadership that leads by example and empowers teams and individual staff to create and drive innovation.Ability
