Epassi has been recognized by the Financial Times multiple times as one of the fastest-growing companies in Europe.Role OverviewWe are looking for a proactive, highly organized, and resourceful Executive Assistant to support our Group Leadership Team and ensure the smooth running of key operational functions across travel and office/facilities administration.This is a dynamic and wide-ranging role, ideal for someone who thrives in a fast-paced, international environment and can balance executive-level support with broader coordination responsibilities across the group.In This Role, You Will Be the trusted partner to our Group Leadership Team, providing high-level administrative support including calendar management, meeting and board coordination, and executive communications. Take the lead in planning and organizing key events such as leadership offsites, board sessions, and internal reviews. Own group-level travel management, overseeing domestic and international arrangements, managing provider relationships, ensuring compliance with company policies, and keeping everything on track—even with last-minute changes. Act as the heartbeat of office operations, managing facilities, supplies, and vendor relationships while ensuring the workplace is welcoming and well-functioning. Support onboarding for new joiners, especially at the leadership level. Coordinate projects, budgets, and company-wide initiatives such as team-building activities and cultural events. What We’re Looking For 5+ years of experience in executive support or operations roles, ideally supporting C-suite or group-level leadership. Strong organizational and multitasking skills, with the ability to manage multiple workflows with discretion and urgencyExperience leveraging AI and automation to streamline workflows, improve efficiency, and enhance decision-making." Proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and collaboration tools (e.g., Teams, Slack). Experience in coordinating international travel and managing vendor relationships. Excellent communication and interpersonal skills. Fluency in English (both written and spoken). A proactive, solution-driven mindset with the ability to anticipate needs and work independently.
