We secure the right finance to bring our clients dreams to life and support them every step of the way on their business or property journey.What You'll be Doing:The Finance team is looking for an Executive Assistant/Finance Operations Manager to work 3 days a week to provide senior-level support to our Executive Managing Partner, Jamie. As well as, managing all administrative duties that facilitate the smooth running of the division in order to maximise efficiency, productivity and profits. This will include:Diary managementArrange and coordinate client meetings and client engagements Schedule internal BlueRock meetings Organise meet and greets with key contacts and lenders Maintain Jamie's calendar to ensure he is briefed on where he needs to be! Chasing NEW client opportunities, to organise dairies for initial meetingsEvents / TravelOrganising team events such as annual planning day, social events, birthdays and special occasionsOrganising client events Organise and book travel/accommodation for Jamie and other divisional leaders when attending interstate meetings and conferencesPeople & CultureOnboarding and offboarding of employees within the divisionOnboarding and offboarding of staff with DMH ConnectiveEnsure all probation reviews are diarised and appropriate forms are completedManage annual internal training scheduleWork with the BlueRock People & Culture team to book candidate catch up & meetingsFinancials / ReportingPrimary contact of AirWallex corporate cards and receipt management Ensure forecasted monthly revenue is recorded in firmwide MADRO report & Excel Forecast Work with the BlueRock accounts team and support them in commissions reconciliationCreate invoices in Xero when requestedAttend monthly budget meeting with CFOEnsure all memberships to industry bodies and subscriptions are up to dateGeneralArranging for client giftsWork with marketing team to release content to our clienteleUnderstand DMH Connective. Assist with content creation for internal meetings such as slide decksEvery day is a little different and weird and wonderful things pop up all the time!  Whatever Jamie needs to feel organised and supported in his role. Requirements2+ years of experience in an Executive Assistant/Finance Operations Manager role or similar position. It is desirable if this experience is combined with hands-on exposure to finance operations or practice administrationPractical understanding of finance processes, such as expense management, purchase orders and invoices. Exceptional organisational and time management skills. Strong attention to detail and follow-through. Stakeholder management - comfortable with liaising with internal and external stakeholders, including partners, clients and senior leaders.
