About the role:As an Executive Assistant, you will play a vital role in supporting the CEO and senior management team by managing schedules, coordinating meetings, handling communication, and ensuring smooth operational flow across departments. This position requires exceptional organizational skills, discretion, and the ability to multitask in a fast-paced environment.You will also support event coordination, assist with onboarding processes, manage communication tools such as HubSpot and QuickBooks, and work collaboratively with internal teams to ensure efficient administrative support.ResponsibilitiesManage the CEO’s calendar, schedule meetings, send invites, and coordinate availability, including buffer time for preparation and follow-ups.Organize board and working group meetings by initiating polls, confirming timings, and circulating invites.Prepare meeting notes and action item summaries using AI-generated transcripts (e.g., Otter, Zoom) and distribute them via SharePoint or HubSpot.Assist in managing mailing lists using Mailchimp and ensure contact databases in HubSpot and QuickBooks are up to date.Check shared mailboxes and route messages to the appropriate team members.Support onboarding of new members in HubSpot and QuickBooks.Assist in sending event invitations, tracking RSVPs, and collecting sponsor assets (logos, bios, artwork).Send event-related social media graphics and promotional materials to speakers and contributors using provided templates.Provide administrative support for the COO and other senior leaders when required.Maintain a high level of professionalism and confidentiality in all communications.Requirements1–2 years of experience in an Executive Assistant, Administrative, or Coordinator role.Strong organizational and time management skills with the ability to prioritize effectively.Proficiency in Google Workspace, Microsoft Office Suite, and online collaboration tools (Zoom, SharePoint, HubSpot, QuickBooks).Excellent written and verbal communication skills.Ability to manage sensitive information with discretion.A proactive, detail-oriented mindset with strong problem-solving skills.Our ValuesCommitment: We strive for excellence, empower others, reject complacency, deliver exceptional value, and aim to make the world happier daily.Leading from Behind: We foster self-worth beyond job success, prioritize the organization and others, and believe leaders eat last.Integrity & Fairness: We promote a meritocracy where equity, inclusion, and honesty are paramount, and everyone’s voice matters.Flourishing: We pursue continuous growth to align our work with what we love, excel at, and what the organization needs.Fearless: We make bold, rational decisions, embrace failure as a learning process, and manage risks effectively.BenefitsCompensation paid in USDMonthly allowance for work-from-home setupHybrid work model (a combination of in-office and work-from-home days)Health insurance coverageAdditional InformationAt GoDigital Media Group, we are committed to building a diverse and inclusive workplace.
