Your opportunityWe are looking for an experienced Executive Assistant to join the Huhtamaki Administration and Support team, to provide administrative support to the EVP, President of our Foodservice Segment. You will ensure effective and efficient time management, communication, and collaboration, through calendar management, meetings & travel arrangements, and assist the EVP/President in the daily routines of his different roles.Where you’ll be You will be located at our Espoo HQ in Finland and should be within reasonable commuting distance from here. This is a primarily in-office role, with the flexibility of one remote day per week.What You'll Be DoingComprehensive Calendar Management: Coordinate and manage complex scheduling across multiple time zones, prioritizing meetings and engagements for maximum efficiency.International Travel Coordination: Arrange detailed travel itineraries, logistics, and accommodations for international and domestic trips, ensuring seamless execution and proactive contingency planning.Communication Liaison: Serve as the primary point of contact between the EVP/President and internal teams, external partners, clients, and stakeholders; screen and prioritize correspondence.Meeting Preparation and Follow-up: Prepare agendas, materials, and presentations; take minutes and track action items, ensuring follow-through.Confidential Support: Handle sensitive information with confidentiality and discretion.Event & Project Coordination: Support planning and execution of leadership meetings, off-sites, and special projects as required.Expense Management: Process and track expense reports and reimbursement requests; ensure compliance with policies, as required.Document Management: Draft, proofread, and manage correspondence, presentations, and reports.Relationship Building: Build strong relationships with global team members to facilitate effective collaboration.What You’ll Bring To The RoleBachelor’s degree in Business Administration or a related field, or equivalent educational background.Minimum 5 years of experience as an Executive Assistant supporting senior leadership in an international environment; experience in a listed company is an asset.Exceptionally customer-focused, results-driven, and systematic in approach.Possesses a flexible, positive, and inclusive mindset, with a proactive “can-do” attitude.Outstanding attention to detail and superior organizational skills.Strong interpersonal skills; solution-oriented, highly motivated, and thrives in a dynamic, fast-paced international business setting.Able to organize, prioritize, and deliver high-quality work under tight deadlines and time pressure.Consistently demonstrates ethical conduct, trustworthiness, and high integrity.Excellent written and spoken English, with effective communication skills.Advanced proficiency in MS Office applications and an interest in digital tools and digitalization.What We Offer In ReturnA meaningful job: At Huhtamaki, we believe in protecting food, people and the planet.
