Job Description

My client is looking to recruit an experienced PA to oversee and coordinate a small, centralised team of PAs. This role offers the perfect opportunity for a skilled PA or Secretary ready to step into a leadership position within a friendly, supportive, and high-performing environment.As Team Lead, you’ll balance hands-on administrative support with leadership responsibilities—ensuring the delivery of consistent, high-quality service to fee earners across the firm. The team provides flexible cover during busy periods and absences, helping to maintain seamless support across multiple practice areas.Key ResponsibilitiesPA & Administrative SupportProvide proactive and high-quality administrative assistance to fee earners across the firm.Manage complex diaries, meetings, travel arrangements, and appointments.Produce, edit, and format legal documentation from digital dictation and handwritten drafts in line with firm standards.Support billing and invoicing processes with accuracy and attention to detail.Maintain and report on client and business development data via the firm’s CRM (Interaction).Oversee electronic and paper filing systems, ensuring efficient organisation and retrieval.Deliver general administrative support (printing, posting, photocopying, scanning, etc.) to a consistently high standard.Provide ad hoc assistance to Partners, Associates, and other internal teams as needed.Leadership & CoordinationLead, motivate, and coordinate a centralised team of Legal PAs, managing daily workloads and priorities.Monitor capacity and allocate work to ensure timely and efficient completion.Provide coaching, feedback, and performance support to team members.Act as the key liaison between PA support teams and legal departments, maintaining clear communication channels.Identify and implement process improvements to enhance efficiency and collaboration.Produce workflow and capacity reports for management.Escalate issues or resourcing challenges proactively to maintain service quality.Skills & ExperienceMinimum 7 years’ experience as a Legal PA or Secretary, ideally across multiple practice areas.Previous exposure to team coordination or workflow management is highly desirable.Advanced proficiency in MS Word, Outlook, Excel, and PowerPoint.Excellent organisational skills and the ability to manage multiple workflows simultaneously.Strong interpersonal and communication skills with a proactive, collaborative approach.Flexible, adaptable, and motivated to contribute to a high-performing team.
