As Executive Assistant, you’ll serve as a trusted, in-person partner to the CEO who empowers him to focus on key priorities and stay in his genius zone by taking care of all administrative aspects of his work.The person in this role is proactive, detail-driven, and comfortable moving from strategic calendaring and communications to on-the-ground logistics.Responsibilities:Strategic Time & Workflow Management: Serves as the CEO's primary gatekeeper and command center for all external and internal communications, enabling the CEO to focus on high-value workMastery of Calendar Management: Strategically sequence a complex, high-volume calendar to align with the CEO's priorities and goals, including proactive scheduling, meeting preparation, and managing time zonesExecutive Communications & Triage: Monitors and prioritizes the CEO's inbox, drafting precise internal/external correspondence and ensuring all critical follow-up items and commitments are closed-loop executedComplex Travel & Logistics: Independently plans and executes all domestic and international executive travel, creating detailed, real-time itineraries and managing last-minute changes with calm and efficiencyInterface with Leadership Team: Act as the primary scheduling and logistical liaison for the CEO's direct reports and key external stakeholders: Coordinate scheduling, communications, and logistics for leadership team meetings, off-sites, and Board interactionsInformation and Communication Tracking: Track and manage all key information and documentation, ensuring timely, accurate, and professional communication flow across relevant internal and external stakeholdersQualificationsExecutive Support Mastery: 3+ years of experience supporting a C-level executive or founder in a fast-paced, high-growth environmentStrategic Partnership: Proven ability to act as a trusted partner who anticipates needs, solves problems independently, and drives follow-throughTechnical Fluency: Advanced proficiency with Google Workspace, Slack, Zoom, and scheduling tools; ability to quickly learn new systemsCommunication & Discretion: Exceptional written and verbal communication skills, with unwavering professionalism and confidentialityOrganizational Excellence: Outstanding attention to detail and the ability to manage multiple priorities with precisionAdaptability & Initiative: Flexible, proactive, and calm under pressure—comfortable navigating changing priorities and tight timelinesKey CompetenciesProactive ownership and bias toward actionHigh reliability, follow-through, and attention to detailExcellent stakeholder communication and service mindsetCalm under pressure with strong problem solving and time managementPreferred QualificationsExperience coordinating Board or investor communicationsPhysical & Working ConditionsIn-person role based at the San Francisco office with reliable daily onsite presencePeriods of computer-based work and walking across our very large 30,000 square foot officeBenefits401K with 4% company match Health InsuranceDental InsuranceVision InsuranceLife InsurancePartial Health Insurance for Child Dependents HSA or FSA Twice weekly catered lunch (for team members in SF office) Pre-tax Commuter Benefit10 Paid HolidaysFlexible PTOPaid Parental Leave Multiply Labs will review the benefit offerings periodically and the benefit options are subject to change to meet employee and business needs.ClosingWe take pride in cultivating an environment that fosters collaboration, open communication, and authenticity.
