This position requires a high level of professionalism, initiative, and organizational skills to manage complex administrative tasks, coordinate projects, and facilitate effective communication across departments. The role involves handling sensitive information, managing schedules, preparing reports and presentations, and ensuring the smooth operation of executive functions. The ideal candidate will demonstrate independence, attention to detail, and the ability to adapt to a fast-paced environment, contributing to the overall efficiency and effectiveness of the leadership team.QualificationsHigh School diploma or GED required; Bachelor’s degree preferred.Minimum of seven (7) years of experience as an Executive Assistant or in a similar role with comparable scope.At least five (5) years supporting senior executives in large, complex organizational settings (preferred).Experience with budget administration, process implementation, and supporting multiple executives (preferred).Proficiency in Microsoft Office Suite, including advanced skills in PowerPoint, Excel, and Word.Strong written and verbal communication skills.Exceptional organizational and time-management abilities.Ability to handle confidential information with discretion and professionalism.Demonstrated ability to prioritize tasks and manage multiple projects simultaneously.ResponsibilitiesServe as the primary administrative support for assigned executives, managing schedules, appointments, and travel arrangements.Draft, review, and manage correspondence, reports, and presentations on behalf of executives.Create and maintain organized electronic and physical filing systems.Coordinate and prepare materials for board meetings, including agendas, board books, and follow-up actions.Assist in developing organization‑specific reports, progress updates, and data collection efforts.Maintain accurate headcount tracking and organizational charts, reporting on staffing changes.Gather, verify, analyze, and proofread information for various documents and communications.Manage departmental budgets, including expense reporting, invoice processing, and budget variance analysis.Monitor and track ongoing expenses, ensuring compliance with company policies and preparing monthly financial reports.Represent executives in internal and external interactions, including vendor communications and stakeholder meetings.Coordinate internal and external meetings, events, and conferences, ensuring logistics are handled efficiently.Partner with departmental VPs to support initiatives, projects, and strategic objectives.Exercise independent judgment to resolve issues, manage confidential matters, and make decisions within scope.Drive projects to completion, demonstrating initiative and ownership of assigned tasks.Perform other duties as assigned to support the department and organizational goals.BenefitsTuition Waiver: Eligible after six months of employment for the employee and immediate family at UTI and Concorde campuses.Paid Time Off: Competitive programs including vacation, sick leave, and flexible time off.Retirement Matching: 50% match on the first 6% of contributions after 90 days of employment.Paid Parental Leave: Four weeks of paid leave for both birthing and non-birthing parents.Health, Vision, and Dental Insurance: Comprehensive coverage for employees and dependents.Pet Insurance: Competitive coverage through ASPCA for furry family members.Health Plan Enrollment: Eligibility begins the first of the month following one full month of employment.Equal OpportunityConcorde Career Colleges is an equal opportunity employer.
