Job Description

The Executive Assistant provides high-level administrative, organizational, and executive support to the company's top management. The role involves managing schedules, preparing reports and presentations, handling confidential information, coordinating meetings and travel, and serving as the key point of contact between the executive and internal/external stakeholders.Specific Duties And ResponsibilitiesManage the daily schedule and calendar of the executive, including appointments, meetings, and deadlines.Screen and prioritize calls, emails, and messages on behalf of the executive.Draft, review, and manage correspondence, memos, reports, and presentations.Organize and prepare materials for meetings, presentations, and conferences.Take down minutes of meetings, track follow-up items, and coordinate deliverables.Coordinate business travel, hotel bookings, itineraries, and reimbursements.Handle and safeguard confidential company and personnel information.Maintain filing systems, both physical and digital, for quick document retrieval.Prepare executive expense reports, track budgets, and process reimbursements.Act as a liaison between the executive and internal departments, clients, and stakeholders.Coordinate with HR, Finance, Admin, or other units on behalf of the executive for approvals or information.Represent the executive professionally in written and verbal communications.QualificationsBachelors degree in Business Administration, Management, Office Administration, or a related field.At least 25 years of relevant experience as an Executive Assistant, Admin Officer, or similar role.Excellent written and verbal communication skills in English and Filipino.Strong organizational, time management, and multi-tasking abilities.Proficient in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of Google Workspace is a plus.Trustworthy, detail-oriented, and able to handle sensitive and confidential matters.Knowledge And SkillsExperience supporting C-level executives or senior leadership.Knowledge of corporate protocol, basic finance, and project coordination.Ability to work under pressure and handle urgent tasks with minimal supervision.Strong interpersonal skills and professional demeanor.
