Job DescriptionThe Executive Assistant (EA) to the CMO plays an important role in enabling the effectiveness of the Marketing function by managing the CMO’s priorities, communications, and operational rhythm. The role combines awareness of business context with strong executional capability, requiring exceptional judgment, discretion, and organizational skill to anticipate needs, coordinate complex workflows, and ensure seamless delivery across a fast-paced, high-performing marketing environment.Executive Support Manages the CMO’s schedule, travel, expenses, timesheets, and follow-up actions with a clear understanding of business context and strategic priorities.Anticipates needs, prepares materials, and ensures the CMO is fully briefed and equipped for all internal and external meetings.Attends meetings as required, recording, transcribing, and distributing minutes and action items in a timely and accurate manner, leveraging Microsoft Copilot to enhance efficiency and accuracy.Manages digital file organization and version control, maintaining consistent naming conventions and ensuring easy access, accuracy, and alignment across shared marketing documents and systems.Executes the MLT Charter and marketing governance rhythms, coordinating MLT meetings, preparing CMO Scorecard reviews, and assembling executive updates to ensure smooth delivery and follow-through.Administrative and Marketing SupportPrepares and edits slide decks based on notes, outlines, or visual concepts provided. Advanced proficiency in PowerPoint is required.Develops, updates, and maintains spreadsheets to support data tracking and reporting. Advanced proficiency in Excel is required.Prepares, formats, and edits complex documents and reports. Advanced proficiency in Microsoft Word is required. Supports creative production through minor website updates and the refinement of graphics, charts, and other visual assets. A strong design sensibility and working knowledge of tools such as Photoshop, InDesign, and Illustrator are highly valued.Maintains email distribution lists and Microsoft Teams channel groups, ensuring accuracy and alignment with current organizational structure. Proficiency in Microsoft Teams is highly valued.Manages the Professional Development Program, overseeing curriculum, scheduling, communications, materials, and logistics to ensure consistent delivery and alignment with program objectives.Skills And ExperienceFluency in English, both written and verbal, with the ability to draft, edit, and communicate clearly and professionally.Experience providing executive-level support within a fast-paced, matrixed organization, preferably in a marketing environment, with a high degree of discretion, judgment, and professionalism in handling confidential information.Strong organizational and project coordination skills, with the ability to manage multiple priorities, meet deadlines under pressure, and maintain a high level of attention to detail.Superior problem-solving and follow-through skills, with a proactive and resourceful approach to tasks.Demonstrates strong stakeholder engagement and influencing skills, with the ability to build effective relationships and drive alignment across diverse teams and functions.Advanced proficiency in Microsoft Office Suite, including PowerPoint, Excel, and Word; high proficiency in Microsoft Teams is required.Working knowledge of design tools such as Adobe Photoshop, InDesign, and Illustrator, with an eye for layout and visual presentation is a strong differentiator.
