Executive Assistant (Auckland)We are looking for an experienced and exceptional Executive Assistant to provide high level of support for our Director – Transport and Head of Clients.To be successful in this role, you will thrive in a busy and collaborative environment, be very proactive and organised and understand the need for high levels of confidentiality.The Role:Provide extensive diary and travel managementDetermine priority of incoming communicationsBuild and maintain strong relationships with internal and external stakeholdersPreparing financial and management reports; proof reading, formatting and draftingProcess invoices, expenses, timesheet queries, gather documents for approvalMinute taking from Transport Leadership Meetings and Project Governance MeetingsSupport the wider administration team including EA to the Managing DirectorCollaborating national Transport Leadership Team including technical directors and client directorsAbout you:Proven track record of experience and achievement in a similar support roleProven experience in supporting multiple executives Strong proficiency in digital tools and platforms for executive operations, such as Microsoft 365, co-pilot, and workflow automationBroad knowledge of administration systems and processes including financial management, IT systems and project management frameworksExcellent relationship management and stakeholder engagement skillsProven ability to develop trust and credibility at the executive levelStrong communication, influencing and interpersonal skillsDemonstrated experience in travel and diary managementWillingness to work in a flexible and dynamic environmentHave the ability to be agile and adaptable in a fast past environmentSound problem solving skillsComfortable working with contracts and detailed tender documents.
