Executive Office Administrator – Confidential📍 Location: Monterrey, N.L., Mexico🕓 On-site Position🌎 Availability for Frequent Domestic and International Travel🗣️ Advanced English RequiredAbout the RoleA leading corporate group based in Monterrey is seeking an Executive Office Administrator to oversee the efficient, organized and professional operation of an executive-level office.This role provides administrative and logistical support to a senior executive, coordinating high-level schedules, travel arrangements, meetings and services, while ensuring operational excellence, confidentiality, and VIP-level attention to executives and visitors.The ideal candidate demonstrates strong executive presence, exceptional professionalism, and the ability to represent the office with confidence and poise.Key ResponsibilitiesManage the full operation of the executive office, ensuring an organized, high-standard environment.Coordinate the executive’s agenda, including meetings, events, and strategic appointments.Plan and manage domestic and international travel logistics (flights, lodging, ground transportation, itineraries).Organize and follow up on meetings, committees and strategic sessions.Administer office requirements, vendor coordination, expense control and assigned budget.Serve as a liaison between the executive office and internal leadership teams, clients and strategic partners.Prepare executive reports, presentations and confidential documentation.Ensure exceptional service and protocol for VIP visitors and high-level stakeholders.RequirementsBachelor’s degree in Administration, Communications, Public Relations or a related field.15+ years of experience supporting C-level executives or managing executive offices in corporate or family-owned institutions.Advanced English (spoken and written).Valid passport and U.S. visa required.Proficiency in Microsoft Office and digital productivity tools.Strong organizational skills, attention to detail and ability to manage multiple priorities.High level of discretion, maturity and ability to work under pressure.Full availability for frequent travel and extended stays when required.Executive presence and excellent professional presentation, with the ability to represent the office confidently and appropriately in high-level environments.Key CompetenciesExecutive judgment and administrative leadership.Planning, prioritization and detail orientation.Strong communication and relationship-building skills.Autonomy, responsibility, and proactive problem-solving.Confidentiality and professionalism at all times.Diplomacy, tact, and service orientation.ConfidentialityDue to the nature of the role, company details will be shared only with candidates advancing in the selection process.📄 If you are interested in participating, please submit your updated résumé with your application.
