Job Description

The Office of the Deputy Director-General, Customer, Small and Family Business team within the Department of Customer Services, Open Data and Small and Family Business provides high-level advice and support to ensure the efficient operation of the executive office and the delivery of the division’s priorities. As a key member of the team, you will provide professional executive assistance, including confidential administrative support to the Deputy Director-General.As The Executive Officer, You Will Provide administration support to the Deputy Director-General while maintaining a high level of professionalism and confidentiality. Maintain effective time management practices for the Deputy-Director General, including coordinating diary appointments and travel arrangements, and understand when priorities arise and arrangements need to be adjusted. Prioritise correspondence and responding to outstanding queries and requests for information. Assist with the development, registration and finalisation of correspondence, briefing notes, meeting papers, minutes, reports, presentations and publications. Liaise with officers of the Department and of other business units/divisions in regard to administrative policies, systems and procedures. Assist with the management of the Office of the Deputy Director-General preparing corporate card reconciliation, stationery orders and administrative reports. Monitor and manage inboxes, ensuring deadlines are met and urgent matters are escalated appropriately. Contribute to the continuous improvement of administrative processes and systems to enhance efficiency and effectiveness within the office. Support the coordination and organisation of meetings, events, and workshops, including preparing agendas, collating materials, and ensuring follow-up actions are completed. Develop, implement and maintain a records management system involving systems, registers and processes as required within the Office of the Deputy Director-General, including both electronic filing systems as well as the ongoing maintenance of physical records. Establish and maintain positive working relationships within Customer, Small and Family Business, the Office of the Director-General, the Minister's Office and other areas of the department, other government agencies and external stakeholders to enable consultation, liaison and negotiation of priorities.Applications will remain current for 12 months.Occupational group Administration
