Department: AdministrationLocation: ShannonDescriptionTo provide efficient and professional PA, administration, and project management support to the CEO and Senior Management Team.Key ResponsibilitiesServe as the primary point of contact for the President & CEO’s office.Manage the President & CEO’s calendar with careful scheduling, coordinating across multiple time zones.Provide high-level administrative support to the Senior Management Team. Oversee end-to-end meeting coordination: scheduling, room bookings, logistics, agenda preparation, and timely distribution of materials to executive-level standards. Liaise with MHC Executive Management, senior industry counterparts, and office visitors.Screen and direct incoming calls with professionalism and discretion.Design and prepare presentation materials using PowerPoint, tailored for internal and external stakeholders. Handle and prepare confidential documents and correspondence. Maintain organised records of meeting minutes and related documentation. Manage monthly expenses, budgeting, and invoicing, including reviewing and approving invoices and supporting ongoing budget tracking. Coordinate domestic and international travel arrangements. Prepare reports and board packs with accuracy and timeliness.Assist in the coordination and delivery of strategic projects as required. Arrange catering, printing, filing, and maintain office supplies.Support ad hoc administrative and project-related tasksSkills, Knowledge and ExpertiseSkills & Experience Essential Executive PA / Office Administration Qualification or related discipline.5+ years’ experience supporting senior executives or C-suite leaders. Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook).High level of accuracy and attention to detail.Desired Exposure to international business environment. Previous experience in the Aviation / Aviation Leasing Industry.Competencies Excellent interpersonal and communication skills. Excellent organisation, time management and planning skillsDemonstrated ability to work within a global team environment. Ability manage multiple tasks and deadlines efficiently. Experience in problem solving and working to tight deadlines. Upholds highest level of discretion and confidentiality. Proven ability to use initiative.Flexible and adaptable.
