Please be aware of this when submitting your application.An exciting opportunity has arisen to join Trust Headquarters, working as a Temporary Executive Personal Assistant in the Executive Assistant Administration Team to cover maternity leave.The successful candidate will provide a confidential administrative and secretarial support service, primarily to an assigned member of the Executive Team, to enable them to perform effectively within a challenging and complex regulated environment. We are seeking someone who has previous personal assistant experience, excellent communication and organisation skills, exceptional attention to detail whilst working at pace, and highly literate, with excellent written communication skills - see person specification for further details.The post holder will provide a full range of executive personal assistant duties and must act professionally at all times, respecting the confidential nature of the work involved.Main duties of the jobProvide a comprehensive and professional Executive PA service, removing unnecessary demands and pressures from the Executive Team memberComplex diary management, using judgement when dealing with the scheduling and rescheduling of appointments and meetings, to ensure most effective use of Director’s time, and effective forward planning for annual schedule of meetings.Monitor and manage incoming emails and post/documents.Provide administrative and secretariat support to meetings chaired by the DirectorArrange and coordinate internal/external meetings and events, travel and accommodation, as requiredTyping, transcription and distribution of correspondence, reports and documentsUse initiative to work accurately under pressure, prioritising own workload in order to meet strict deadlinesEnsure an effective filing, retrieval and archiving system for papers, data and associated documentation in line with corporate document management requirements/systemsSupport expense submissions, and procurement related matters, in line with any pre-determined delegated authority level as may be deemed appropriate to the roleWork collaboratively with the Executive Support Team Supervisor and other Executive PAs to ensure that resources are used flexibly to meet demand, including appropriate office cover and the provision of assistance in times of particular pressure in any areaWorking for your organisationJoin us at The Shrewsbury and Telford Hospital NHS Trust, where our passion for excellence drives everything we do.We're on a mission to provide high quality, safe care to our patients, in an environment our incredible staff are proud to work in.Our vision, 'To provide excellent care for the communities we serve,' is not just a statement; it's a promise we live by every day.
