The events executive performs general office duties to support sales, meeting and catering events team e.g. filing, sending emails, typing, copying, loading special or negotiated rates on to the property management system and maintaining customer and company profiles. This individual will also assist the events team in drawing up proposals where required, pulling out reports.Main Duties & Responsibilities:Assist in selling catering services and banquet facilities as directed by the Cluster Manager, Catering Sales.Answer telephone and respond to caller inquiries in a pleasant manner.Generating reports, preparing proposals, collections details, coordinating with clients & suppliers.Provide high-level administrative support by conducting research, preparing statistical reports, collecting and processing sensitive data, resolving guest issues and performing clerical functions.Instrumental in assisting with sales & catering events reports, new business generation, market intelligence and overall administrative support.Manage and maintain manager’s schedules, appointments, and travel arrangements.Arrange and co-ordinate meetings, events, and any appointments.Coordinates necessary arrangements with vendors relating to sales.File and retrieve documents and reference materials.Ensure the adequacy of sales-related equipment or material are always available.Assist sales team by managing schedules, filing important documents, and communicating relevant information. Answer client / bookers questions about property facilities/services (e.g., hours of operation, rates and packages, promotions, entertainment, restaurants etc.)Prepare sales-related documents throughout the sales process (e.g., updating events tracker daily, properly blocking all leads in the opera system, qualifying leads, sending proposals and payment link, support invoicing in coordination with the finance department, issuing contracts, completing necessary sales forms, properly applying for all event permits, banquet event orders, etc. on time accurately)Gather materials and assemble information packages (e.g. event signage, menus, brochures, events and promotional materials, sales demo kit, welcome kit, souvenir etc.).Monitor, screen, respond to and distribute incoming communications.Design, upload, extract and maintain customer databases and events trackerEnsures all documents produced by the sales department (i.e. BEO’s, contracts, proposals, invoices, payments) are completed accurately and on time.Respond to complaints from customers and give after-sales support when requested.Assist in coordinating with external vendors, event execution and logistics, ensuring all setups meet client requirements and brand standards.Provide on-site support during events to ensure smooth execution and address any last-minute client or operational needs.Collaborate with internal teams (F&B, kitchen, Engineering and housekeeping) to ensure seamless event operations and guest satisfaction.Assist the guests on their site visits and venue inspections to showcase event spaces and discuss requirements.Perform extra duties as requested Others: Performs other duties as assigned to meet business needs.Protect company tools, equipment, machines or other assets in accordance with company policies and procedures. Maintain a high standard of personal appearance and hygiene as per hotel grooming standards at all times.Comply with the hotels Environmental and Occupational Health and Safety procedures at all times.Carry out your role in a safe and environmentally friendly way, protecting the health and safety of both colleagues and guests, the hotel equipment, as well as contributing to protecting the environment. Project at all times a positive “can do” attitude.Attend and contribute to meetings, department and hotel training, and other scheduled activities.About youBachelor’s degree in Business, Marketing, Hospitality, or related field (preferred)1–3 years of sales experience (experience in events/hospitality preferred)Strong communication, negotiation, and presentation skillsExcellent interpersonal and relationship-building skillsAbility to work under pressure and meet deadlinesProficiency in MS Office and CRM softwareSelf-motivated, target-driven, and customer-focusedAbout the BenefitsWe offer a competitive tax-free salary, paid in Dirhams (AED), the local currency of the UAE.
