Job Description
Job Title: Executive Secretary to COO & ChairmanJob Summary:Provide high-level administrative, secretarial, and organizational support to the Chief Operating Officer (COO) and Chairman. Manage communications, schedules, meetings, and confidential information with discretion and professionalism.Key Responsibilities:Manage and coordinate the COO’s and Chairman’s calendars, appointments, and travel arrangements.Prepare, review, and edit correspondence, reports, and presentations.Handle confidential documents and maintain strict confidentiality at all times.Serve as the primary point of contact between the executives and internal/external stakeholders.Organize and facilitate meetings, including agenda preparation, minutes, and follow-up actions.Track and ensure completion of key tasks, deadlines, and strategic initiatives.Coordinate office activities and ensure efficient workflow.Support in preparing board materials, business reviews, and management reports.Qualifications & Skills:Bachelor’s degree in Business Administration or a related field.5+ years of experience in executive-level administrative support.Excellent communication and organizational skills.Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).High level of discretion, professionalism, and attention to detail.Ability to multitask and manage priorities under pressure.
