Title: Facilities & Administrative AssistantLocation: Hamilton, BermudaWorking Style: ResidentRole purpose:Provide administrative & facilities support to the business as requiredResponsibilities: Administrative & Facilities Support- Provide comprehensive administrative support across all business areas as directed by management [including booking and preparing meeting rooms, and assisting with weekly, monthly, and quarterly reports.]- Maintain and update office policies and procedures with the Office Manager.- Record, file, and distribute minutes for local committees and meetings; serve as Secretary as required.- Support general office administration tasks (e.g., scanning, filing, document handling).- Run ad-hoc internal and external errands, courier and by-hand deliveries (e.g., Post Office, Government Offices).- Assist with corporate apartment provisioning & associated matters, including operating company car &/or bike- Assist with local & group Board Meeting preparations, including pre, during, and post meeting tasks.- Provide daily and extended coverage for the Facilities team, including reception desk coverage, answering and screening calls, greeting and directing visitors and handling incoming mail.- Monitoring cleanliness and upkeep of meeting rooms, kitchens, reception areas, offices & workspace.- Prepare and manage files for retention or destruction using designated file tracking systems and platforms.- Support Group Communications, the social committee, and management in planning and executing in-house events.- Oversee invoice management and monitor payment requests for facilities-related expenses within the Coda system.Additional Responsibilities- You may be required to undertake other duties from time to time as the Company may reasonably require.- You will be required to work additional hours during Board Meetings and on occasion may be required to work weekends and public holidays as necessary. Minimum Qualifications, Skills, and Experience:- 2-3 years of previous administrative experience, preferably in a corporate environment.- Good working knowledge of Microsoft application,s including Word, Exce,l and PowerPoint- Must be a self-starter and work on one's own initiative- Solid communication, organizational, and interpersonal skills.- Ability to multi-task while meeting strict deadlines- Operating Motor Vehicle & Bike- Light lifting for file retention & destructionWho we are:Enstar is a trusted, leading global (re)insurance group that delivers innovative solutions that help our clients reduce risk, release capital and achieve finality.
