Job ResponsibilitiesPLEASE NOTE:INTERNAL POSTING - Only current SC Housing employees will be considered.** In the role of Facilities Manager, you will coordinate administrative, management, and support functions to ensure the agency’s facility and assets operate compliantly, safely, securely, and efficiently. You will oversee mail and parcel services, facility access systems, janitorial and emergency procedures, fleet vehicles, and printing and shredding services. You will manage vendor contracts for facilities, safety, and auxiliary services, and partner with the Procurement Director to develop, implement, and annually review the agency’s emergency management plan and related administrative policies. You’ll recommend operational best practices, lead special projects, deliver job related training, and consult with internal departments to resolve operational issues. Success in this role requires a collaborative, solution-focused mindset with procurement team members and agency customers.Essential duties and responsibilities associated with this position includes, but are not limited to the following:Building MaintenanceTrack general maintenance, repairs, and cleaning (internal and external), escalating concerns to building ownersCoordinate pest control services as neededPerform minor facility repairs (e.g., desks, cabinet doors)Equipment ManagementCoordinate maintenance and repair of building equipment (HVAC, electrical systems, etc.)Develop and implement routine maintenance schedulesTrack equipment inventory and document maintenance history for auditsVendor and Contract ManagementManage vendor relationships and contracts for facilities, safety team, and auxiliary servicesEmergency ManagementDevelop, implement, and annually review the agency’s emergency response plan with the Procurement DirectorFormulate and administer administrative policies and proceduresRecommend operational best practices and standardsProjects and ReportingPlan, implement, and coordinate special facility projects with realistic plans, timelines, and budgetsPrepare detailed project and program reportsHealth and SafetyDevelop and enforce safety policies and procedures; ensure compliance with safety and environmental regulationsCreate emergency response plans for incidents such as fires or severe weatherConduct regular safety audits to identify and mitigate risksOversee daily security operations and lead the safety teamTraining and DevelopmentDesign and deliver training programs on administrative, management, and safety practicesConsulting and TroubleshootingCollaborate with internal departments to diagnose and resolve business-operation issuesSkills, Education, And Certifications (Preferred)OSHA General Industry Safety and Health certification (or equivalent)Project management skillsMinimum And Additional RequirementsAgency Minimum Qualifications*:A high school diploma, valid driver's license, and three (3) years of hands-on, relevant experience in facilities management or a closely related field.Candidates must specifically meet the Agency Minimum Requirements or an equivalent combination of education and experience to be considered for this position.Additional RequirementsProficiency with MS Office SuiteAbility to deliver training in front of othersDetail-orientedWorks well both individually and as part of a teamAbility to manage scheduling of facilities and vendor interactionsStrong troubleshooting and problem-solving skills with the ability to use out-of-the-box thinking to improve processesAbility to communicate effectively in person, via phone or over emailKnowledge of modern office practices, procedures and equipmentRequired to be able to climb and balance on a ladder, bend, lift and squat, may be required to get under a desk. Must be able to push or pull a fully loaded wheeled cart. Must be able to lift and carry files, books and reports weighing up to 50 lbs. Must be able to perform filing, desk work and operate general office equipment. Must be able to sit or stand for prolonged or intermittent periods of time while sharing, gathering or presenting information to other staff members or external parties.
