The opportunityWe are seeking a motivated and enthusiastic Factory Admin Manager to join our team. In this role, you will be doing the executive secretarial support work focused on supporting an individual executive or small number of executives in their day-to-day office activities.How You’ll Make An ImpactOverseeing and managing employee transportation services, ensuring that service providers deliver high-quality and reliable services.Monitoring and controlling the use of company cars, ensuring they are well-maintained and serve the needs of employees efficiently.Developing and implementing transportation policies and procedures to enhance service delivery.Arranging and coordinating logistics for visits, including those from Hitachi, external visitors, and customers.Ensuring all aspects of logistics are covered, from transportation to accommodation and hospitality.Managing the archiving processes within the factory, ensuring all departments adhere to proper archiving procedures.Monitoring the performance of service providers responsible for archiving and document management.Implementing and maintaining a systematic approach to document storage and retrieval.Handling all factory-related reservations, including hotels, restaurants, and flight tickets.Ensuring bookings are made efficiently and cost-effectively, meeting the needs of the factory and its visitors.Developing relationships with vendors and negotiating favorable terms and rates.Overseeing the provision and maintenance of work wear for factory employees, ensuring quality and compliance with safety standards.Implementing welfare programs that enhance employee satisfaction and well-being.Manage cafeteria operations, ensuring the provision of quality food and services to employees.Working with service providers to maintain high standards of hygiene and customer satisfaction in the cafeteria.Overseeing the maintenance and repair of factory facilities, ensuring a safe and efficient working environment.Coordinating with maintenance teams and external contractors for facility upgrades and repairs.Ensuring compliance with health, safety, and environmental regulations.Developing and managing the administrative budget, ensuring cost-effective operations.Monitoring expenditures and implement cost-saving measures where possible.Preparing financial reports related to administrative expenses for senior management review.Collaborating with the HR department to support employee onboarding, training, and development initiatives.Assisting in managing employee relations and addressing administrative queries and concerns.Managing relationships with vendors and service providers, ensuring contracts are up-to-date and services are delivered as per agreements.Conducting regular evaluations of vendor performance and negotiating contract terms as needed.Promoting and implementing sustainability initiatives within the factory, such as waste reduction, recycling programs, and energy efficiency measures.Collaborating with relevant departments to integrate sustainable practices into daily operations.Overseeing the factory’s IT infrastructure and communication systems, ensuring they meet operational needs.Coordinating with IT service providers for system maintenance, upgrades, and troubleshooting.You will be responsible for ensuring compliance with applicable external and internal regulations, procedures, and guidelines.Living Hitachi Energy’s core values safety and integrity, which means taking responsibility for your own actions while caring for your colleagues and the business.Your backgroundA bachelor's degree in business administration, Management, or a related field.Proven up to10 years’ experience in administration or management roles, preferably in a factory or industrial setting.Strong organizational and multitasking skills.Excellent communication and interpersonal skills.Proficiency in using office software and management tools.Proficiency in both spoken & written English is required.Hitachi Energy is a global technology leader in electrification, powering a sustainable energy future through innovative power grid technologies with digital at the core.
