OverviewOur client, a leading representative body within the commercial creative and communications industry in Ireland, is seeking to appoint an Office Manager. This opportunity is available on either a full-time (5 days per week) or part-time (4 days per week) basis.About the OrganisationThis organisation represents agencies across advertising, media, digital, PR, and events. Its purpose is to ensure that the advertising and communications sector thrives by lobbying and influencing key stakeholders, while also delivering a range of professional services and initiatives to support its members.The RoleReporting directly to the Chief Executive, the Office Manager will play a central role in managing the day-to-day financial and administrative operations of the organisation, ensuring the smooth running of the office. This position requires strong financial acumen and attention to detail, as the successful candidate will oversee all financial transactions, budgeting processes, and reporting activities.The ideal candidate will be proactive, highly organised, and comfortable working within a small, collaborative team.Key ResponsibilitiesPayroll and HR AdministrationManage payroll processing and associated HR administrative duties, including documentation and record-keeping for staff.Financial ManagementOversee all aspects of member subscriptions, including invoicing, receipting, and resolving payment queries.Manage all financial transactions, including payments (Accounts Payable) and receipts (Accounts Receivable).Assist in budget preparation and provide regular financial updates to the Chief Executive.Liaise with external auditors in preparing quarterly and annual management accounts.Maintain strong financial controls and ensure accurate, timely reporting.Office Management & AdministrationEnsure the smooth operation of the office through oversight of all administrative functions.Manage office supplies, provisions, and catering for meetings and events.Coordinate building management and external service contracts.Provide executive support to the Chief Executive, including travel and accommodation arrangements.Candidate ProfileProven experience in office management or a similar administrative role.Strong financial management skills, including bookkeeping, budgeting, and reporting.Excellent organisational and communication skills.Proficiency with accounting and office software.Ability to work independently and manage multiple priorities effectively.
