This role will engage with the wider organisation to ensure that supplier accounts are up to date. This role will work closely with the finance officers and will report to the Finance Officer.Responsibilities: Management of the accounts payable process:liaising with suppliers to collect billing informationOnboarding new suppliers into the respective systemsreviewing and coding invoices in C40’s invoice and expenses system (Concur)ensuring that C40 staff submit their credit card and expenses reports on timeuploading invoice and expenses information into C40’s Financial Management System (InforSunSystems) as requiredAdmin support for updates into the respective systems (new staff, suppliers, projects etc)Management of the Finance inbox, dealing with expenses queries, invoices, reimbursement requests and other correspondence from staff and suppliers.Preparing journal uploads for the Financial Management System.Assisting in keeping system guidance and process notes up to date.Managing C40’s corporate credit card program, dealing with changes in limits and new and cancelled cards.Undertaking special Finance projects as necessary.Supporting the Finance team during audits by gathering documents and answering queries as required.Supporting the Finance team more widely on a variety of tasks as required.Person Specification:Degree or equivalent work experience.Experience of working in accounts payable within a wider Finance team.Excellent numeracy, literacy and analytical skills.Ability to communicate effectively with colleagues and stakeholders at all levels.Ability to maintain confidentiality when dealing with sensitive financial information.Ability to work proactively and prioritise tasks effectively in order to meet deadlines.Strong organisational skills, with excellent attention to detail.Ability to work in a fast-moving and high-pressure environment.Ability to quickly learn new IT applications. This is essential because C40 is a paperless organisation and the work of the Finance team is carried out across several systems.Good working knowledge of Excel, including Pivot tables and Lookup functions.Other Requirements:Applicants must already have the right to work in South Africa.
