JOB SUMMARYThe incumbent will be responsible for providing direct support to the Administration area of operations in delivery and pickup of documents and packages as well as in general office duties. KEY DUTIES AND RESPONSIBILITIESPerforms daily banking duties for the Company such as collection of cheques/statements, etc.
in accordance with a prescribed scheduleDelivers and collects mail, securities, packages, and other items on behalf of the Company to/from locations, including public and private offices, companies, clients/counter-parties and other Financial Institutions in accordance with a prescribed schedule as well as purchases stamps when necessaryFiles correspondence, individual and Corporate client account documents and other documents ensuring these are properly secured and maintainedLiaises with all internal and external clients in establishing good business relationships in order to further enhance the Company’s businessMonitors and maintains stationery/grocery stock levels as well as provides Supervisor with a stationery and office supplies weekly checklist and arranges the purchase of all stock items by preparing relevant requisition/purchase orders and verifying receipts against orders madeProvides oversight for the physical structure of the premises and other amenities such as kitchen supplies, stationery, computers, servers, UPS and other equipment for the Company by performing routine checks, organizing maintenance & repair activities, etc.
Ensures that office equipment such as photocopiers, etc. is in working order and liaises with suppliers and service providers to obtain quotations relating to the purchase of office equipment and supplies as well as makes recommendationsPerforms the role of relief Receptionist, maintains the First Aid and Disaster kits by ensuring it is properly stocked at all times and arranges breakfast and lunch for staff on a daily basis as requiredLiaises with Private Client Services team and provides ancillary support by preparing the venues to ensure the efficient running of all programs / meetings / events, etc.

and any other requirements as necessaryPerforms the role of ICT Liaison Officer for registering of ICT related incidents for the Company and troubleshooting where necessaryEngages in marketing of the Group’s products and servicesResponds to customers’ requests, enquiries, incoming and outgoing calls, both local and foreign, in a courteous and timely manner consistent with operating standards and escalation to Supervisor/Manager where necessaryCompletes special projects and other related activities as assigned by the Supervisor/ManagerQUALIFICATIONS AND EXPERIENCEFive (5) GCE O’Levels Grades A, B and C or CXC O’Levels (General Proficiency) Grades I, II or III of which Mathematics and English Language must be at Grades I or II.
Not more than two (2) of the other subjects should be at a grade III levelA minimum of one (1) year in related fieldA working/reliable vehicleGood oral & written communication and time management skillsAbility to use initiative, work independently and exercise good judgmentAbility to read, analyze, interpret, and use documents and forms
