Our 50+ strong Brussels office, dedicated to European public affairs, supports businesses and organisations in navigating the complex institutional environment of the European Union. We operate across a variety of sectors: tech, telecommunications, creative industries, transport, agri-food, chemicals, healthcare, financial services, manufacturing, services, and security/defence. This is a hybrid role, actively involved in running Forward Brussels’ office and assisting with daily operations. Operations and Administration: Help in providing a wide range of support to ensure the smooth operations of Forward Global Brussels, including: Front office: Coordinate reception and welcoming guests, arrange for catering when necessary. Travel arrangements:

Support with booking flights and accommodations, visa applications, transportation and restaurant reservations. Facility management: Manage facility requests and office supplies. Human Resources Employee tracker: Follow days off, sick leave, etc. . Recruitment: Scheduling interviews, managing communication with candidates. Payroll: Prepare employee’s payroll each month. Event Management: Assist the office manager in researching and booking venue(s), catering, transportation, accommodations, AV, display, equipment rental, décor companies, and other services as needed. Manage registration via event registration platforms. Finance: Assist the office manager in preparing monthly invoices, reminders, and ensure supplier payments.

Assist the office manager in updating financial dashboards and reports. Minimum Job Requirements: Education: Bachelor's DegreeExperience in administration or events is a plusGeneral skills in Google WorkstationDiligent problem solver with keen attention to detailExcellent organizational, time-management and interpersonal skillsFluent in English and FrenchTeam worker with a proactive inclination and positive attitudeWhat do we offer ?
