The RoleFremantle Canada is seeking a highly organized, resourceful, and proactive Executive Assistant to support the EVP and provide broader administrative support to the Canadian team. This is a pivotal role for someone who thrives in a fast-paced, creative business environment and has a strong interest in the sales and distribution side of the television industry. The ideal candidate will bring a high level of professionalism, strong judgment, and an eagerness to contribute to a collaborative, high-performing team.
* Minimum 3 days in the officeKey ResponsibilitiesMaintains EVPs calendar and schedules meetings and conference calls across multiple time zonesManage team agenda/meetingsPrepares and reconciles expense reports for EVPCoordinate conference meeting schedules and virtual screeningsAct as point person and coordinate special events including but not limited to special screenings, Content Canada, MIPCOM, Banff, May screenings.
Schedules EVP’s travel arrangements including hotel accommodations, airline reservations, restaurant reservations, ground transportation, and off-site meeting venues Maintain EVP Contacts and client lists Update screening tracker document Assist in updating and managing internal databasesMonitor markets while maintaining and updating comprehensive client details in databaseTrack social media around FM title launches and competitive launchesAssist in managing Fremantle Canada’s Instagram account Assist in creating presentation decks and market booksManage office supply needs and coordinate shipping needs as requiredCommunicate with landlord and all contractors as needed (cleaners, photocopier supplier, internet provider, etc)Act as backup support to Sales Coordinator when they are out of officeOther duties as assigned Essential Skills and ExperienceFlexibility with work schedule and be available to support the executive occasionally outside of standard office hours including evenings and weekends Advanced skill set of Microsoft Office, especially Outlook, Excel and PowerPointProven ability to interact with senior executives, industry representatives and vendors with tact, diplomacy and discretion Effective in and comfortable with working in high demand, environments with the ability to maintain accuracy of output, attention to detail and ability to meet deadlines Ability to multitaskExcellent organizational and communication skills with the ability to handle sensitive and confidential information Collaborative with the ability to develop effective organizational wide relationships and to work in a cross-functional environment Must be an ambitious, self-starter with excellent interpersonal skillsAbility to anticipate needs/next steps and problem solveWorking knowledge of French language is an asset*Please submit resume and cover letter including what TV show you recently watched and enjoyed* The pay rate for this position is between $50,000-$55,000/year CAD, exclusive of any bonuses or other incentive compensation (if any).
