Job Summary: The Operation Officer plays a vital role in supporting the operations team by managing a variety of administrative and operational tasks. This position is responsible for maintaining accurate sales data through diligent data entry, checking, and reconciliation to ensure data integrity. The coordinator acts as a key communication link with external parties such as solicitors and agents, facilitating smooth coordination and timely processing of invoices and payments. Key Responsibilities:
Act as the primary liaison between solicitors, agents, and internal teams to ensure smooth property transaction processesPrepare and organize documentation for closing deals, stamp duty filings, and post-sale follow-upsProvide administrative support to team, including data entry, filing and document managementPerform sales data checking and reconciliation to maintain data integrityCoordinate with agents and gather invoices for data input and payment processHandle inquiries and resolve any issues related to sales agreements and invoicingMonitor and update sales performance metrics and dashboardsSupport the team with any other ad-hoc administrative tasks as required Job Requirements:
Degree in related fieldExperience in sales administration (especially in Hong Kong property transactions) is preferredAbility to convey information clearly and effectivelyStrong interpersonal and networking abilitiesProficiency in computer applications, including Excel, Word, and PowerPointAbility to work independently and as part of a teamAttention to detail and accuracy in data managementAbility to multitask and work in a fast-paced environment Additional Skills: Knowledge of sales processes and proceduresAbility to handle multiple tasks simultaneouslyAbility to work under pressure and meet deadlinesOutgoing and easy communication
