Job Description

What’s the role?To learn about the Corporate Services team, the clients we service, and transactions undertaken, whilst delivering a high level of administrative support to the team, in line with defined business activities. All tasks should be carried out efficiently and effectively, in accordance with Gen II’s procedures and Jersey legislation. What You’ll Be DoingPrepare basic emails for review including circulating post to clients, statement of holdings requests and intermediary information requests.

Prepare covering letters sending documents to clients and intermediaries by post (where required)Arranging couriers in line with required deadlinesCompletes team scanning and filing using the agreed naming conventionsReview data management system and escalate amendments as required to maintain data integrityAssist with the appointment and resignations in the data management systemAssist with updates to statutory registers, including register of directors and register or membersGenerate statutory reports (i.

e register of directors and register of members) from data management systemPrepare payment instructions including for online banking systems, with supporting documents for team clients and in line with policies and proceduresUnderstand the different requirements/process for payments for high-risk clientsMonitor for receipt of funds and providing confirmation when receivedPrepare WIP (work in process reports) for team and assist with quarterly billing processSend out invoices to clientsStatutory filing for teamScheduling and attendance at board meetingsBoard Pack Preparation in Board Intelligence - producing reports, collating information and circulatingDraft basic minutes and resolutions to document the discussions and decisions at a board meeting (with assistance)Requesting CDD documentation (under supervision) and understand what is appropriate and acceptablePrepare (with assistance) for review:

Draw down checklists, Distributions checklists, Investment checklistsUpdate team schedules/reports and team specific spreadsheets/informationThe ideal background for this role: Sound academic backgroundStudying or have a willingness to study towards the professional qualification: CGIPrevious office experience is preferred but not essentialWorking knowledge of Microsoft OfficeExcellent written and verbal EnglishClear telephone mannerA high level of accuracy with good attention to detailGood time management and the ability to prioritise workloadsProactive approach to work and team playerRole LocationThis role is based in our Jersey office, and requires an in-office working schedule.
