Job Description

What’s the role?To deliver a high level of administrative support to the team, in line with the defined business activities, ensuring that all tasks are carried out efficiently and effectively, in accordance with Gen II’s procedures.

What You’ll Be DoingPrepare basic general emails for reviewPrepare covering letters sending documents out and basic letters – ready for reviewCRM - Review data and escalate amendments as required to maintain data integrityPrepare payment instructions including for online banking systems, with supporting documents for own clientsUnderstand the different requirements/process for payments for high risk clientsMonitor for receipt of funds and providing confirmation when receivedPrepare BCF (billing control forms) and WIP (work in process reports) for teamSend out invoices to clientsSettle invoicesStatutory filing (minutes) for teamMark up correspondence for filing and book-keepingScheduling meetings and observe at meetings (if requested)Board Pack Preparation - producing reports, collating information and circulatingRequesting CDD documentation (under supervision) and understand what is appropriate and acceptablePrepare (with assistance) for review:

Draw down checklists, Distributions checklists, Investment checklistsDraft basic minutes and resolution (with assistance)Update team schedules/reports and team specific spreadsheets/informationBinding documents, scanning, photocopyingOpen, sort and distribute mailArranging couriersThe ideal background for this role: Sound academic backgroundStudying or have a willingness to study towards a professional qualification such as:

CGISTEP Foundation Certificate in International Trust ManagementCertificate or Diploma in Fund AdministrationPrevious office experience is preferredWorking knowledge of Microsoft OfficeA basic understanding of the local finance industry and regulatory requirements in which we operateExcellent written and verbal EnglishClear telephone mannerA high level of accuracy with good attention to detailGood time management and the ability to prioritise workloadsProactive approach to work and team playerRole Location/Hybrid ScheduleThis role is based in our Jersey office.

Although the nature of most of the roles within Gen II cannot be classed as totally flexible, there is scope in some cases for a form of Agile Working. The different ways in which Agile Working can be undertaken is dependent on the demands and needs of the business, the office space available and the individual’s preferences and circumstances.
