BACKGROUNDThe Global Green Growth Institute (GGGI) has five Members in the Pacific Islands: Fiji, Kiribati, Papua New Guinea (PNG), Tonga, and Vanuatu.

GGGI has established a strong presence in the region, working closely with governments and partners to support green growth initiatives. GGGI’s work in the Pacific is guided by the Pacific Regional Strategy 2023-2027 and aligned with GGGI’s Strategy 2030. The organization’s focus includes climate finance, policy support, capacity building, and investment planning. Position SummaryThe Senior Assistant will provide administrative and logistical support to the Tonga office and the broader Pacific Regional Program. The role involves assisting with daily administrative tasks, supporting travel arrangements, procurement documentation, and logistical support for meetings and events.

The Senior Assistant will report directly to the Tonga Country Representative and work closely with the Tonga Senior Country Officer. PURPOSEProvide general administrative support to ensure smooth office operations. Assist in processing administrative tasks related to travel, procurement, and logistics. Ensure compliance with GGGI’s administrative guidelines and policies. Maintain organized records and documentation for reporting purposes. ENGAGEMENTSupport the team with administrative duties, including document preparation and filing. Assist in record-keeping in compliance with organizational and donor requirements. Liaise with service providers for office supplies, travel bookings, and event logistics.

Assist with communication and documentation related to activities and reports. DELIVERYAdministrative & Logistical SupportAssist with scheduling meetings, preparing agendas, and coordinating logistics. Support staff in processing travel arrangements, including documentation and coordination with travel agencies. Help with procurement-related administrative tasks, such as collecting quotations and organizing purchase requests. Support the organization of office events and workshops by coordinating logistics. Maintain office supplies and ensure smooth daily operations. Financial & Procurement AssistanceAssist in compiling invoices, receipts, and supporting documents for payments. Support procurement documentation by gathering quotations and assisting in purchase requests. Ensure administrative transactions follow internal guidelines and procedures.

HR & Staff Engagement SupportAssist in the onboarding process for new staff. Support coordination of staff training and engagement activities. RequirementsQUALIFICATIONSA Bachelor's Degree in business administration, accounting, public policy, finance, or a relevant field. At least 2 years of relevant administrative experience, preferably in an international or development organization. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc. ). Strong attention to detail and organizational skills. Good oral and written communication skills in English. Must be a Tongan citizen or hold a valid work visa. FUNCTIONALAbility to support office administration and logistics effectively. Strong problem-solving skills within assigned responsibilities.

Ability to work efficiently in a team and take initiative when needed. Flexibility to handle multiple administrative tasks as required. WORKING CONDITIONSThe Senior Assistant position is an X5 grade level in GGGI’s National salary scale with a starting salary of 7,719 USD. The role includes benefits such as 15% of base salary towards retirement savings, 27 days of annual leave, and private health insurance. The selected candidate is expected to be based in Nuku'alofa, Tonga.
