Job Summary: The position will oversee the full spectrum of HR administrative and operational activities at our corporate headquarters in Switzerland. The ideal candidate will play a central role in supporting employees and managers across all functions and levels, ensuring compliance with internal policies and local labor laws, and contributing to global HR initiatives.

This role will also include oversight of pre-payroll activities in Luxembourg (approx. 4 employees), supervision of the HQ reception function, and participation in global HR projects as needed. Job Responsibilities: Manage the end-to-end employee life cycle from onboarding to offboarding for all HQ-based staff. Maintain and update employee data in SAP-HRM and SuccessFactors. Collaborate closely with the internal payroll team to ensure accurate payroll data submission. Serve as the main point of contact for employees and managers on matters related to Swiss labor law, social security, and compensation.

Ensure HR processes and systems adhere to internal policies and external regulatory requirements. Provide guidance and support in handling long-term absences due to illness or accidents. Prepare and deliver regular reports: Monthly headcount (DCM report), Quarterly holiday accruals (for payroll), Quarterly holiday status updates for ELT members. Monitor and manage the time recording and absence tracking system. Monitor and manage FTE budget for corporate headquarters, including reporting for FP&A. Support internal audits by ensuring proper administrative documentation. Handle general correspondence with social security offices, insurance companies, and government agencies.

Process and verify HR-related invoices, including withholding tax, daily sickness benefits, accident insurance, and social security fund contributions. Execute, manage and monitor all expatriate contracts. Manage and act as an advisor for the headquarters different pension schemes. Follow up completion of mandatory trainings for corporate headquarters. Act as a member of the Safety and Evacuation group for corporate headquarters. Support the implementation of the new HRIS in Switzerland and Luxembourg. Oversee pre-payroll preparation for the Luxembourg office (4 employees). Including absence management, and other HR administrative tasks. Manage the performance of the reception at the corporate headquarters.

The receptionist will report directly to this role. Contribute to global HR projects and tasks as needed, supporting colleagues in other countries. Qualifications and Competencies: Degree in Human Resources Management or a related field. Minimum of 3–5 years’ experience in HR administration and recruitment, ideally in an international setting. Strong working knowledge of Swiss labor law. Hands-on experience with HRIS systems (preferably SAP-HRM and SuccessFactors). High proficiency in English and German. Strong interpersonal and communication skills (verbal and written). Ability to build and maintain effective working relationships across departments and levels. Flexible, well-organized, and capable of managing multiple priorities.
