What To ExpectThe HR Program Specialist plays a key role in delivering a seamless and engaging experience for new hires and supporting the broader HR function.
This position serves as the primary point of contact for onboarding after an offer is accepted, partnering closely with hiring managers to coordinate schedules, collect necessary documentation, and ensure new employees feel welcomed and prepared. Additionally, the HR Program Specialist provides essential support to the corporate recruiting function by scheduling interviews, coordinating candidate communications, and assisting in candidate experience initiatives. This role also contributes to process improvement efforts aimed at enhancing the overall onboarding and recruiting journey. Key ResponsibilitiesOnboarding Coordination & SupportServe as the main point of contact for new hires from offer acceptance through their first weeks of employment.
Guide new hires through pre-employment requirements, such as background checks, forms, and system access. Partner with hiring leaders to develop and maintain structured onboarding schedules tailored to each role. Prepare welcome communications, orientation materials, and ensure technology, workspace, and resources are ready on Day 1. Conduct or support onboarding sessions and check-ins during the early stages of employment. Gather feedback from new hires to identify opportunities for improvement and enhance the onboarding experience. Recruiting Coordination & Candidate EngagementSupport the corporate recruiter by scheduling interviews and managing candidate communications throughout the recruitment process.
Coordinate logistics for virtual and in-person interviews, including panel availability, meeting links, and interview guides. Maintain a high level of professionalism and candidate care to ensure a positive experience throughout the hiring journey. Assist with tracking candidate activity and maintaining up-to-date records in the applicant tracking system. Support pre-hire communications and act as a point of contact for candidate questions during the hiring process. HR Administrative SupportMaintain accurate employee records and documentation in HR systems and files. Assist with HR data entry, reporting, and general administrative tasks. Respond to employee inquiries or redirect as needed for resolution.
Support the offboarding process, ensuring timely communication and documentation. Process Improvement & EngagementContribute to continuous improvement efforts across onboarding and recruiting processes. Collaborate with HR and cross-functional teams to implement onboarding and candidate experience tools, templates, and tracking systems. Assist in developing onboarding and recruiting metrics and reporting on trends and outcomes. Support engagement initiatives that help new hires feel connected and supported during their transition. QualificationsQualifications:
