From scheduling calls, sending reminders, and supporting content delivery to organizing backend systems, managing timelines, and cleaning up workflows — your role ensures nothing falls through the cracks. Your mission is clear: deliver a smooth, high-touch client journey, maintain clean and efficient operations, enforce program delivery standards, and help both our clients and our internal team succeed. The purpose of this role is to ensure the seamless execution of all internal operations, program delivery, financial tracking, and client support systems across the company.
This person is the operational backbone — keeping everything running behind the scenes so that coaches, leaders, and clients can focus on growth. You ensure that: Programs operate without tech issues or delaysFinancial and payroll processes are accurate and on timeCommunity engagement is high and support is fastSystems are optimized, documented, and continuously improvedClients feel guided, supported, and retained throughout their journeyThis role exists to protect the client experience, reduce churn, and support the leadership team by owning operations, systems, and execution — so the company can scale efficiently without sacrificing quality.
Requirements2+ years of experience in operations, virtual assistance, project coordination, or online program managementFamiliarity with tools like: Monday. com, GoHighLevel (GHL), Circle. so, Slack, Google Drive, and ZoomExperience scheduling content or managing social media across platforms like Instagram, YouTube, and LinkedInStrong written and verbal English communication skillsExperience supporting coaches, online education programs, or service-based businessesAbility to manage multiple deadlines, organize information, and follow through without remindersTech-comfortable and quick to learn new platforms, automations, and workflowsBonus: Prior experience working with remote teams or in high-performance startup environmentsBonus:
