Manages booking requests, vehicle allocation, and daily issue handling while maintaining accuracy and timeliness. Ensures vendor compliance with safety, maintenance, and insurance standards, and proactively drives service improvements. Collaborates with the HR Services Manager to implement transportation policies and optimize operational efficiency. Additionally, oversees the issuance and management of bus passes via the QR code system for employees and vendor purchasing bus cards. Monitors and operates the transportation management application to track bus schedules, usage, and performance. Provides training and guidance to drivers and vendor coordinators on proper app usage to ensure accurate data and smooth daily operations. Oversees clinic-related activities and the Clinic room, ensuring compliance with health and safety requirements and providing proper support to employees when needed. HR Administrative SupportProvides comprehensive administrative support for HR operations, including procurement of HR office supplies, control of incoming and outgoing correspondence, and document filing. Ensures that HR records, forms, and policy tracking are updated, accurate, and compliant with internal procedures, while maintaining confidentiality and accuracy in all records. Contributes to process improvement initiatives within HR to enhance administrative efficiency and employee experience. Attendance & Employee Access ManagementManages the employee fingerprint registration system to ensure accurate setup, updates, and secure data synchronization with the attendance system. Oversees timely removal or re-registration of fingerprints when required. Provides onboarding instructions to new employees to ensure full compliance with attendance procedures, and administers attendance cards as an authorized alternative when fingerprint use is not feasible. Other tasks are assigned by line managers.Job Requirement College or Bachelor’s degree in Human Resources, Business Administration, or a related field. Minimum 2 years of experience in HR or administrative operations, preferably within a hospitality or large-scale organization. Must present a well-groomed appearance. Well organized, multitask, detail oriented, problem solving. Must have the ability to respond to handle difficult or stressful situations with tact and diplomacy. Strong organizational, analytical, and coordination skills with high attention to detail. Excellent computer literacy, including Excel data handling and reporting. Strong vendor coordination and service monitoring skills. Good communication in both Vietnamese and English.
