We help doctors and clinic owners in the U.S. streamline operations with skilled offshore virtual assistants.🎯 Your Role in a Nutshell:As our HR Officer, you’ll play a vital leadership role in supporting our virtual assistants and ensuring operational harmony between our virtual assistants and clients. You’ll be the go-to problem solver, working across HR, client success, and compliance departments to create an excellent experience for both VAs and clients.🧩 Core Responsibilities:👋 Onboarding SupportConduct “warm-up” calls with newly placed VAs before their start date with clients.Set expectations, review SOPs, best practices, and mentally prepare VAs for success.Track and document VA progress with follow-up check-ins (Day 1, 7, 14, 30, etc.).💌 Day-to-Day SupportRespond to daily email inquiries from VAs (e.g., VPN issues, time-off requests, software questions, access issues, request for COA, request for paystubs, issues with clients, questions about payroll, questions about loans/gear/financial support, notices of absence/tardiness, HR forms, etc.).Act as the first point of contact for basic support needs with VA’s.Any other admin tasks as needed by the team📢 Mass Communication & AnnouncementsSend out internal company-wide email alerts (e.g., upcoming holidays, typhoon alerts, U.S. time zone changes, etc.).Communicate proactively with clients about delays, closures, or updates that affect VA schedules.🧠 Tech-Savvy TroubleshootingAssist VAs and clients with basic tech issues (e.g., accessing VOIP, remote access tools, IP whitelisting, VPNs, removing/resolving any constraints for VA’s needing access to specific software, etc.).Confidently advise clients on simple steps to help their VAs stay connected and compliant.📊 Coordination with Payroll & BillingCoordinate with internal billing when VAs miss time, leave early, or are awarded bonuses.Help ensure clients are accurately charged and informed.🔥 Retention & Crisis ManagementSupport our Client Success team if client/VA issues arise (e.g., client dissatisfaction, performance drops, etc.).Investigate, document, and collaborate with department heads to resolve issues.Conducting “wake up”/”performance issue” calls + providing action steps to improve (PIPs - Performance Improvement Plans)💡 What We’re Looking ForPrior experience in a virtual assistant agency, BPO, or HR-related role (REQUIRED)Experience supporting U.S. clients or U.S.-based remote teamsStrong written and verbal English communication skillsTech-savvy with tools like Slack, Monday.com, PandaDoc, Google WorkspaceClear understanding of time-tracking, VPNs, VOIP setup, payroll cycles, and virtual complianceDetail-oriented, proactive, and reliable—can put out fires without being askedComfortable leading and speaking on calls if necessary (including with U.S. clients)Natural problem solver with a “find a way” mentalityBased in the Philippines or highly familiar with the PH environment (preferred)✨ Perks & GrowthStable, full-time position with room for salary growth and promotionBe part of a fast-growing, mission-driven teamWork closely with the CEO and senior leadershipGain experience in HR, client success, and medical staffing operations📚 Basic requirementsMust be proficient in speaking and writing English very clearlyMust have relevant work experienceBe able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]Must be available for video meetings with your camera onMust have no other clients during required work hours🖥️ Technical requirementsDevice: Reliable laptop or desktop computer.Internet: High-speed connection (minimum 10 Mbps).Audio: Noise-canceling headset.Video: Webcam for virtual meetings.Workspace: Quiet, professional environment.📝 How to ApplySend us a 1-3 minute recorded video explaining why you’re the best fit for this role.
