Executive Assistant to CEO – Global Investment FirmLocation: Boston/HybridSalary $110k - $130K + Bonus, Generous PTO, 401K MatchWe have partnered with a prestigious Boston-based Investment firm to identify an exceptional Executive Assistant to support the CEO. This is a unique opportunity to join a top-tier investment environment where professionalism, precision, and energy are key. We’re seeking a polished, proactive, and resourceful Executive Assistant with 8+ years of experience in C-level support, ideally within financial services or consulting.

This individual will be the go-to person for managing busy calendars, high-level communications, travel, and events, while also assisting with marketing and creative initiatives. Key ResponsibilitiesProvide seamless administrative support:

Maintain executives’ calendars and coordinate all aspects of appointments, meetings, receptions, events and video/conference calls; maintain frequently-changing calendars with accuracy and precisionIndependently and efficiently coordinate complex meetings involving senior level internal and external participants including clients, regulators and vendor partnersExercise discretion in committing the executives’ time and evaluating needsArrange complex travel (domestic and international)Prepare, reconcile and submit expense reportsServe as a liaison between the executives, their teams and executive partners.

This includes receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolutionDetermine priority of matters of attention for the executives; redirect matters to staff to handle, as appropriateKeep the executives advised of time-sensitive and priority issues, ensuring appropriate follow-upPrepare a variety of materials on a daily weekly or monthly basis such as meeting handouts and meeting agendasExercise professionalism, discretion and judgment in handling sensitive and confidential financial, legal and company informationWork collaboratively with others across multiple business lines and geographiesSupport for Board meetings logisticsIdeal Candidate Will Have8+ years of Executive Assistant experience supporting senior executivesA collaborative, energetic, and service-oriented mindsetBachelor's Degree (required)Exceptional verbal and written communication skillsOutstanding attention to detail and organizational abilitiesProficiency in Microsoft Word, Excel, and PowerPoint; CRM and social media platform experience a plusCompensation & Benefits$110K - $130K salary based on experienceGenerous annual performance bonus401(k) with matchRobust PTO packageFull medical, dental, and vision coverageExposure to top-tier executives and a dynamic, high-performance team cultureTo ApplyPlease submit your resume directly via LinkedIn or reach out to hryan@incendia.
