Position Overview As the Operations Assistant located in the USA, you will play a crucial role in supporting the sales team, and ensuring smooth operations within the business development functions. You will be responsible for assisting with the administration of the sales activities, maintaining excellent customer relationships, keeping organized logistics, tracking shipments, deliveries, invoicing, receivables and payables, following on regulatory requirements and conducting market studies as needed. EPA and State Registration RenewalsKeep track of all EPA renewal applications Organize digital regulatory folders (EPA, State, Labels)File all regulatory documents in a structured folder by the first monthRenew EPA establishment site registration with full documentationKeep track of all EPA site registration and file documentationEPA ODS import report submissionFollow up with agent for the submission on ODS reportsCoordinate with Olivia to finalize and approve updated labels (MBR & ALP)Receive final confirmation from EPA and Olivia by the first monthSchedule periodic updates on EPA regulation changes for internal teamWeekly regulatory meeting in placeLogistics Americas-:
USA and Americas Shipment tracking Create a master sheet to track all USA shipments by the first monthOrganize and file all USA shipment documents All past shipment documents to be filed by the first monthMaintain and update shipments tracking table including EUC and payment statusUpdate tracker every weekCommunicate with the forwarders and other parties regarding shipmentsUpdate the master table with contact details of relevant parties Customer coordination (invoices, payments, delivery issues)Acknowledge and process 100% of client issues within 2 business daysCoordinate with Primo and drayage providers for warehouse and delivery activitiesWeekly follow up and tracking sheet to be updatedTrack and follow up on all bills related to logistics and warehouse servicesSubmit payment tracker every FridayMarket Research (Volza)-:
Create updated database of USA contacts importing from China (MBR & ALP)Compile USA leads by the first month across 2 databases (MBR & ALP)Compile a spreadsheet of USA-based MBR buyers and categorizeCategorize and update MBR buyers list weekly through Track companies applying fumigants and build a lead listAdd fumigant applicants with contact details by the first monthCollect LinkedIn profiles and contact info of decision makers (priority Americas)List key decision-makers with roles by the first monthCompile structured reports for key countries from Volza dataSubmit country market reports by the first monthAdmin & Communications-: Monitor payments to logistics and warehousing partners (e.

Qualifications and Skills Education and experience Logistics and operations education certification. Business and administration experience. Previous experience in sales and operations support. SkillsExcellent verbal and written communication skills.
Outstanding organizational and time-management abilities. Proficiency in Microsoft Office Suite (Word, Power Point and Excel) and familiarity with CRM Systems.
