Job Description

Position ObjectiveResponsible for organizing and executing the company’s bidding activities to ensure timely, compliant, and high-quality submission of tender documents. Also provides administrative support to ensure smooth operation of departmental tasks. Key ResponsibilitiesI. Tender Management DutiesTender Information ManagementCollect and screen tender notices and project bidding opportunities;Maintain and regularly update the bid tracking and project database. Tender Document PreparationPrepare technical and commercial proposals in response to bid invitations;Organize and maintain up-to-date company qualification documents, licenses, authorizations, etc. ;Handle editing, formatting, printing, packaging, and submission of bid documents.

Cross-Department CoordinationLiaise with technical, finance, legal, and other departments to obtain necessary input for tenders;Follow up on document approvals and ensure submission deadlines are met. Tender Process ExecutionParticipate in clarification meetings, bid opening, and other relevant processes;Archive bidding documents and prepare summary reports for post-bid review. II. Administrative Support DutiesGeneral Administrative AssistanceAssist managers with scheduling, meeting arrangements, and document filing;Manage office supply requests, fixed asset records, and courier handling. Document and Record ManagementMaintain the department's documentation, including contracts, project files, and access logs;Assist with certification renewals and updates to company profiles or systems.

Meeting & Reception SupportCoordinate client visits, internal/external meetings, and receptions;Support trade fairs, business events, and other company activities as required. QualificationsEducationAssociate degree or above in Business Administration, Engineering, Marketing, or related fieldExperienceAt least 1 year of relevant experience in tenderingSkillsProficient in MS Office (Word, Excel, PowerPoint); Familiar with tendering processes and document preparationCompetenciesStrong coordination, communication, and writing skills; detail-oriented and well-organizedOtherResponsible, proactive, and able to work under pressure; willing to work overtime or travel if needed
