This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with the utmost discretion. Key ResponsibilitiesMaintain a high standard of confidentiality in all matters. Draft and manage correspondence for internal staff, management, executive leadership, and trustees.
Manage the President’s calendar, including meetings, deadlines, and key communications; distribute weekly, monthly, and annual schedules as needed. Assist with ensuring compliance with legal and regulatory requirements. Coordinate both professional and personal scheduling for the President/CEO. Provide general administrative support including document creation, spreadsheet management, faxing, and maintenance of filing systems and contract databases. Support internal communication efforts and help organize planning meetings and company events. Screen and direct phone calls; provide requested information or route inquiries appropriately. Prepare and process expense reports on behalf of the President/CEO. Oversee office supply inventory, ordering, and distribution.
Manage office runner schedules and assignments. Oversee and coordinate timesheet submissions for leasing, drafting, engineering, and executive staff. Greet and assist guests in person or over the phone, ensuring a professional and welcoming experience. Perform other administrative duties and special projects as assigned.
QualificationsBachelor’s degree in Business Administration or related field preferred3–5 years of progressive administrative experience supporting a CEO or executive leadership teamProficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Minimum of 2 years of experience in corporate trust environments (preferred)Strong communication, organizational, and time-management skillsExcellent writing and editing abilitiesProven discretion in handling confidential and sensitive mattersInterested in hearing more?
