Job Description

For an international wealth management and investment firm located in Geneva, we are seeking a: PERSONAL ASSISTANT & OFFICE MANAGERKey ResponsabilitiesSchedule Management: Coordinate the Managing Director’s calendar, including in-person and video conference appointments, ensuring that all appointments are efficiently scheduled across multiple time zones. Travel Arrangements: Organize all aspects of international travel, including flights, accommodations, and ground transportation. Accounting and Banking Reconciliation: Handle financial tasks, including reconciling accounts and managing office expenses. Real Estate Asset Monitoring: Track the performance of international commercial real estate investments, utilizing advanced Excel skills to analyze data and generate reports. Third-Party Follow-ups:

Manage communications and follow up on reminders from external parties such as lawyers, consultants, and other service providers. Office Management : Oversee general office operations, including managing supplies, organizing meeting rooms, and ensuring the smooth running of the office environment. Administrative Support : Provide additional support with bookkeeping tasks, managing petty cash, and maintaining filing systems. Additionally, ensure compliance with office policies and timely submission of documents for client review. Required ProfilePrevious experience as a Personal Assistant, preferably in finance or international organizations. University degree or equivalent. Proficiency in English is essential; knowledge of French and Italian is a plus.

Dependability, strong work ethic, and exceptional attention to detail. Excellent communication and writing skills. Ability to work autonomously, prioritize tasks, and manage time efficiently. Problem-solving mindset with a focus on practical solutions. Intellectual curiosity and an open-minded approach. Advanced IT skills, including proficiency in Word, Excel, PowerPoint, Outlook, and a solid experience in using conference tools such as Zoom and Microsoft Teams.
