What you’ll doOffice Administration: Provides administrative support by maintaining effective communication with employees, managing calls and correspondence, ensuring confidentiality, handling mail and packages, keeping organized contact records, and coordinating the procurement of necessary office suppliesTravel Coordination: Coordinates employee travel by processing travel requests, arranging bookings through agencies, maintaining travel records, distributing documents, verifying expense reports, preparing monthly travel summaries, and providing information to support per diem calculationsVisitor Management: Oversees visitor access by managing registrations, verifying identities, and ensuring efficient and secure entry proceduresExpense Tracking: Maintain records of employee expenses and verify accuracy before submission to the finance departmentSupplier Communication: Maintain relationships with suppliers and report monthly on office-related costs to the finance departmentPhysical Security: Ensures premises security through CCTV monitoring, daily patrols, and prompt response to security issuesVisit Coordination & Protocol: Coordinates company visits, managing protocol requirements and liaising with departments for a smooth experienceWhat you need to be successfulNo experience required — just bring a positive attitude! (Previous experience in office administration or a similar support role would be considered a plus)Recent graduate in Business, Public Administration, Communication, or Human ResourcesStrong organizational and multitasking skillsExcellent communication and interpersonal abilitiesHigh attention to detail and a strong sense of confidentialityProficiency in Microsoft Office Suite (Word, Excel, Outlook)Fluency in English; additional languages are an advantageValid driving license (Category B)
