Job Description

As our Admin Senior Executive, you will: To ensure the smooth and efficient day-to-day operations of the office by managing receptionduties, coordinating administrative support, maintaining office facilities and supplies, and ensuringa clean, organized, and welcoming work environment for staff and visitors. • Greet and welcoming guests in a professional and friendly manner and direct them to theappropriate person or department. • Maintain a clean, organized, and presentable reception area at all times. • Answer, screen, and forward incoming phone calls accurately and promptly. • Receive, sort, and distribute incoming mail, documents, and packages.

• Update meeting calendars and assist in scheduling appointments and meetings asrequired. • Arrange domestic and international travel bookings, transportation, and accommodationsfor staff. • Prepare meeting and training rooms in advance, ensuring necessary materials andequipment are ready. • Manage inventory and procurement of office supplies, equipment, uniforms, and othermaterials; ensure cost-effective purchasing and accurate record-keeping. • Coordinate ferry transport arrangements for staff and ensure timely communication. • Supervise the office cleaner to maintain a clean and hygienic office environment; liaise withmaintenance service providers when repairs or maintenance are needed. • Provide general administrative support to HR/Admin and other departments as needed.

• Assist with organizing internal events, staff activities, and meetings. • Maintain updated records of office expenses, asset inventory, and vendor contacts. We are looking for: • Bachelor’s degree in business administration, Management, or related field. • Minimum 2–3 years of experience in a similar administrative or receptionist role. • Good interpersonal and communication skills, with a polite and professional attitude. • Strong organizational and multitasking abilities. • Proficient in Microsoft Office (Word, Excel, Outlook). • Ability to handle confidential information with discretion. • Attention to detail and problem-solving skills. • Ability to work independently and as part of a team.
