Job Description

Our dynamic and fast-growing events company client in Dubai is seeking a highly organized, proactive, and resourceful Assistant to the Managing Director to play a key role in supporting our senior leadership. This is an exciting opportunity to work at the heart of a creative and fast-paced industry, contributing to high-impact projects and initiatives. Key Responsibilities: Manage the Managing Director’s calendar, appointments, and scheduling, ensuring optimal time management and prioritization. Coordinate complex travel arrangements, including flights, visas, accommodations, and itineraries. Prepare, edit, and format high-quality presentations, reports, and documents for internal and external stakeholders.

Take detailed meeting minutes, track action points, and follow up to ensure timely completion. Liaise with clients, partners, and internal teams to facilitate smooth communication and project coordination. Handle confidential information with the utmost discretion and professionalism. Conduct research and gather information to support business development, events, and operational decisions. Organize and assist in the planning of events, meetings, and conferences. Proactively anticipate needs and provide solutions before issues arise. Requirements: Minimum 5 years’ experience in a similar executive support role. Native English speaker with exceptional communication skills (written and verbal). Highly proficient in Microsoft Office (PowerPoint, Word, Excel, Outlook).

Strong organizational skills with attention to detail and the ability to multitask effectively. Proven track record in calendar and travel management, presentation preparation, and meeting coordination. Ability to travel as required for business needs.
