Job Description

Job Overview:The incumbent will be responsible for planning, guiding, and overseeing the operation and maintenance of all building assets and utility systems, including electrical distribution, HVAC, plumbing, fire safety, and other critical infrastructure. This role ensures optimal performance, cost efficiency, and compliance with safety standards while maintaining a comfortable and sustainable work environment.Although most maintenance activities will be executed by vendors, the incumbent will act as the strategic coordinator, ensuring timely preventive and corrective maintenance, vendor performance management, and adherence to operational schedules. The position requires strong planning, analytical, and communication skills to manage multiple stakeholders and ensure smooth operations across all facilities.Responsibilities:Plan and Schedule Maintenance ActivitiesDevelop preventive and corrective maintenance plans for all building assets and utility systems (electrical, HVAC, plumbing, fire safety, etc.).Ensure compliance with operational schedules and safety standards.Vendor ManagementCoordinate with multiple vendors for execution of maintenance/project activitiesMonitor vendor performance against SLAs and ensure timely service delivery.Negotiate contracts and manage service agreements.Asset Operations OversightSupervise the operation of electro-mechanical systems through vendor teams.Ensure uninterrupted functionality of critical systems like power distribution, HVAC, and fire protection.Budget and Cost ControlTrack OPEX and CAPEX budgets for maintenance and operations.Optimize resource utilization and reduce operational costs.Compliance and SafetyEnsure adherence to fire safety, electrical standards, and environmental regulations.Maintain documentation for audits and certifications (e.g., electrical earthing, water quality testing).Energy Efficiency and SustainabilityImplement strategies for energy optimization and green building compliance.Monitor solar systems and water reuse initiatives.Stakeholder CoordinationLiaise with internal teams (Finance and other relevant divisions) and external vendors for smooth operations.Provide regular updates on maintenance status and project progress.Reporting and DocumentationMaintain logbooks, maintenance schedules, and vendor performance reports.Prepare periodic reports for management on operational efficiency and cost savings.Experience:4–7 years of professional experience in asset operations, facilities management, or industrial maintenance environmentHands-on exposure to electro-mechanical systems such as:Electrical distribution and substation management.HVAC systems (Central Air conditioning, VRF, split AC, chillers).Plumbing and water treatment systems.Fire detection and suppression systems.Proven track record in vendor management, including contract negotiation and SLA compliance.Experience in budget monitoring and cost optimization for OPEX and CAPEX.Familiarity with energy efficiency initiatives and sustainability practices (e.g., solar systems, water reuse).Ability to coordinate multiple stakeholders and manage large-scale office infrastructure.Education:Bachelor of Science (B.Sc.) in Mechanical Engineering or Electrical Engineering from a reputed university.Additional Qualification (Preferred): EMBA or certification in Facilities/Asset Management is a plus.Technical Skills:Strong understanding of electro-mechanical systems (HVAC, electrical distribution, plumbing, fire safety).Knowledge of preventive and corrective maintenance planning.Familiarity with vendor management processes and service-level agreements.Proficiency in MS Office Suite (Excel, PowerPoint) for reporting and planning.Basic knowledge of Power BI or similar tools for data visualization (preferred).Awareness of green building standards and energy optimization practices.Soft Skills:Planning & Coordination: Ability to design and implement maintenance schedules.Analytical Skills: Cost optimization and performance monitoring.Communication: Strong verbal and written skills for vendor and stakeholder interaction.Leadership: Ability to guide vendor teams and ensure compliance.Problem-Solving: Quick decision-making during emergencies or operational disruptions.
