Job SummaryThis position compiles and enters payroll data; computes and posts wages; and maintains payroll records. Assists in the correct and expeditious processing and distribution of salary to school system employees. Supervises subordinate staff engaged in a variety of payroll activities in the absence of the Payroll Supervisor.DISTINGUISHING CHARACTERISTICSThis job has no supervisory responsibilities.Essential Job FunctionsAssists with the processing, preparation, and maintenance of payrolls and related records.Prepares the payroll for non-exempt and hourly paid employees.Provides guidance and assistance to staff as required or necessary.Performs duties of Payroll Analyst as necessary during his/her absence.Maintains an in-depth knowledge and understanding of computer software and programs used for payroll functions; makes recommendations for improvements and changes as necessary.Keeps abreast of current pay and pay-related laws, regulations, rules, and policies on the local, state, and federal levels; maintains thorough knowledge of rules, regulations, and procedures governing leave, insurance, retirement, social security, state and federal taxes, and all voluntary deductions.Compiles and processes payroll data, such as leave and attendance, taxes, insurance, voluntary deductions, etc., from attendance sheets and other records.Prepares and enters data into computer files; computes wages and deductions as necessary and posts data as necessary.Prepares salary adjustment sheets for employees due to salary/position changes, terminations, and leave of absences.Reviews notifications from Human Resources regarding employees on a leave of absence and adjust leave accruals as needed.Reviews wages computed and corrects errors to ensure accuracy of payroll.Provides assistance and training to staff, school system employees, and others as necessary.Processes stop payments on lost payroll checks and issues duplicates.Assists in the maintenance and upkeep of payroll section files and records.Works extra hours to ensure that payrolls are completed by set deadlines.Performs related duties as assigned.Minimum Education And Experience RequirementsHigh School Diploma or State Approved High School Equivalency; Associate's Degree in Business Education, Accounting, Mathematics, Office Management, or related field preferred. Two (2) years of working experience in payroll. Or an equivalent combination of education, experience, and/or training that provides the required knowledge and abilities.Knowledge, Skills And AbilitiesKnowledge of payroll and accounting principles and procedures.Knowledge of general office procedures and equipment.Some knowledge of computerized accounting programs.Some knowledge of the principles of supervision.Skill in typing and/or operation of a computer keyboard.Good mathematical skills.Good organizational skills.Ability to work under pressure and handle deadlines.Ability to deal courteously and diplomatically with school employees, vendors, and the general public.Ability to communicate clearly and effectively, both orally and in writing.Ability to maintain and keep records.Ability to perform works requiring meticulous attention to detail and accuracy.Ability to enter and retrieve data from a computer.Ability to understand, analyze, and interpret information and instructions.Ability to give directions and gain compliance from subordinates.Ability to comprehend and apply payroll, tax, and benefits rules, regulations, and procedures.Certification, License And Special RequirementsN/ASalary/Terms/Benefits239 day work year; 8 hours per daySalary: Grade 127 - Placement on salary schedule based on years of experience. Up to ten (10) years allowed. The stated salary range reflects the opportunity for pay over the course of the employee's tenure.
