Virtual Assistant to Law OfficeAbout Us: We are seeking a skilled and detail-oriented Legal Support Assistant tojoin our law firm in California.Role Overview: In this role, you will provide essential support to our legal team by assisting with client communication, transcription tasks, and preparation for depositions.Location: Remote (Work at Home)Key Expectations and Responsibilities:1. Computer and Business Software Expertise: The ideal candidate should have a robust background in Microsoft Office or equivalent, experience with Task Management tools, Business Tools such as Monday, Quickbase or Airtable, and the ability to quickly learn and effectively use required software.2. Administrative and Managerial Competence: Responsibilities include managing emails, self-scheduling, ensuring accountability, delivering on commitments, and managing deadlines.3. Organizational Skills: Given the remote nature of this position, exceptional organizational skills are crucial. The candidate should be self-disciplined and capable of managing their tasks independently.4. Communication Skills: Proficient English communication skills (both written and spoken) are essential, as you’ll be responsible for effectively presenting the required information and communicating with native english speakers.Key Responsibilities:Initiate phone calls to clients in both English and Spanish to gather information and provide updates on legal matters.Accurately transcribe client phone conversations from Spanish to English, ensuring precise grammar and attention to detail.Prepare clients for upcoming legal depositions by providing instructions, answering questions, and ensuring they are well-informed about the process.Assist with general back-office tasks and customer service, addressing clientinquiries and concerns with empathy and patience.Contribute to maintaining organized client records and files.Potentially grow into additional responsibilities within the company asopportunities arise.Qualifications and Skills:Excellent verbal and written communication skills in both English and Spanish.Strong attention to detail and exceptional grammar skills.Experience in customer service or client-facing roles.Ability to handle sensitive information with utmost confidentiality andprofessionalism.Strong organizational and time-management abilities.Proficiency in computer applications, including Microsoft Office suite.Empathetic and patient demeanor when interacting with clients.Willingness to learn and adapt to the firm's processes and procedures.Additional Information:This is a unique opportunity to work remotely and be part of a successful business environment.
