We're a distributed team working across Europe, and we're looking for a dependable and organized Office Coordinator / Operations Assistant to support our internal operations. You'll help keep the team aligned, documents up to date, and processes running smoothly across time zones. This is an ideal role for someone with a background in office admin, project coordination, or back-office support — or a highly organized entry-level candidate eager to learn. We value practical problem-solving, good communication, and a strong sense of ownership.

ResponsibilitiesCoordinate team schedules, book meetings, and manage internal calendars Organize and maintain digital documents and shared drives Assist with invoice collection, expense tracking, and basic budget monitoring Liaise with vendors and contractors to ensure timely responses and deliverables Help new team members with onboarding checklists and document access Prepare reports or status summaries for internal use Monitor shared inboxes and escalate action items when needed Keep SOPs (standard operating procedures) up to date RequirementsProficient in your local language (e. g. , German, French, Spanish, Italian, etc.
