Philadelphia Insurance Companies is seeking an individual with a can-do attitude, is detail-oriented and a strong team player to join our team! This position will provide critical administrative support to our Human Resources Business Partner (HRBP) team.
This role handles various administrative tasks including but not limited to employee filing, audits, fielding timekeeping/paycheck questions, updating system data in Workday, coordinating off-boarding processes and drafting various employee letters. In addition, may be involved in or support cross-functional project work. Key ResponsibilitiesPartner with HR Business Partners to field employee administrative inquiries related to timekeeping and maintaining personal data in Workday HRIS. Accurate and timely filing of employee documentation in electronic filing system. Preparation of internal change forms for relocations, salary changes, and other employee lifecycle events. Updates Workday HRIS with relevant/approved employee changes.
Conduct regular audits of HR data to ensure accuracy across systems and trackers. Coordinate employee offboarding process to include scheduling exit interviews, drafting and sending separation paperwork, security notifications, and notifying payroll of final pay details. Support annual merit, and promotion processes to include drafting and distributing employee letters, processing mass change spreadsheets and collection of signed offer letters via electronic signatures. Distribute annual compliance-related materials, including policies in partnership with Training & Development Team. Provide initial responses for ADP unemployment questionnaires. Coordinate HR Compliance Poster Process for Regional office buildings. Provide support with ad hoc HR projects.
Perform other duties as assigned. QualificationsAt least one year of administrative support experience Strong attention to detail, organizational and time management skills. Proficiency in Microsoft Office Suite. Strong written and verbal communication skills. Ability to handle sensitive information with discretion and confidentiality. Strong customer service mindset and skills with a focus on responsiveness.
